Job Summary


Qualifications:


  • Undergraduate degree in Business/Human Resources or other related field preferred
  • Minimum 5 years' experience in a payroll/HRIS (Kronos, Vocantas, Meditech) systems in a complex union / nonunion hospital environment
  • Knowledge of all facets of program design and maintenance (i.e. scheduling, payroll, comp and benefits, etc.)
  • Strong consulting, facilitating and advisory skills used to support the advancement and maintenance of the programs
  • Demonstrated knowledge and experience working with relevant legislation (i.e. Employment Standards Act, Pay Equity, Public Sector Salary Restraint, Excellent Care for All Act, BPS Perquisites, etc.)
  • Demonstrated ability to build, foster and maintain constructive relationships and partnerships (with internal and external stakeholders) and achieve results through others using motivation and negotiation skills
  • Ability to conduct research and condense complex information into succinct reports or briefing notes/proposals
  • Strong time management, planning and organizational skills to manage competing priorities and meet deadlines
  • Excellent communication (verbal and written) and presentation skills with proven ability to build trust at all levels of the organization
  • Knowledge and understanding of Human Resources metrics and strong analytical and research skills

Primary Responsibilities
Kronos and Vocantas Administration and Information Systems

  • Develop procedures and processes for the system administration to ensure timely and effective delivery of services within own portfolio and coordinates teamwork between System Administrators for Kronos ESP/WTK and HRIS, and support staff for interfaces.
  • Provide administration for the Vocantas System and liaise with the Occupational Health Department to assist in their administration of the Attendance Support Program as needed.
  • Manage the back end of the systems, including creating new departments or pay codes.
  • Responsible for ensure data integrity and quality and for monitoring error reports.
  • Ensure data transfer and accuracy from HRIS into My Time and Vocantas.
  • Check physical clocks daily and liaise with IT as needed.
  • Collect biometrics at orientations.
Knowledge and Training

  • Conduct training for new hires, including frontline staff and leaders.
  • Attend all orientations and deliver specialized training sessions for new leaders.
  • Provide operational training to all users of the My Time system.
Customer Service and Liaison

  • Responsible for investigating and determining customer service needs, dealing with difficult staffing requests, facilitating resolutions to staffing problems, and planning and developing strategies to close the gap between resource availability and resource needs.
  • Support scheduling and leaders with labour relations issues related to the My Time system.
  • Liaise between Occupational Health, Scheduling, Payroll, and a variety of other departments to ensure that the My Time system is operating correctly at all times.
  • Troubleshoot any errors or problems that may arise.
  • Provide supervision, direction, and guidance to the Portfolio Clerks, Staffing Clerks, and Timekeepers.
  • Liaise with leaders to support system navigation and troubleshooting.
