Job Description:


Customer Service:

Champion Oxford's Customer Service Excellence initiatives,
Professionally and courteously handle all inquiries, feedback, complaints or concerns, and ensure a high level of resident relations is maintained through regular contact and proactive attention to resident needs,
Maintain an overall focus on enhancing the customer and employee experience,
Foster a culture of collaboration, innovation, employee empowerment and development, inclusion and diversity amongst all staff,

Management:

Operate properties in accordance with the management contract and approved annual budgets. Be responsible for ensuring all Property Management policies, procedures and operations are executed to standard,
Establish and operate a program of corrective maintenance, which will efficiently sustain a high level of resident satisfaction and aesthetic standards,
Ensure preventative maintenance is scheduled and completed,
Review and evaluate repairs and maintenance requests to ensure they meet budgetary and operational expectations,
Monitor building service contract performance to ensure prudent, cost-effective practices are constantly observed,
Perform and document monthly site and vacant suite inspections. Routinely follow-up to ensure all deficient items identified are addressed in timely manner,
Review suites on turnover and complete a scope of work consistent with established policies and procedures. Follow-up to ensure all deficient items identified are addressed in timely manner,
Authorize work and purchase orders to approved limits. Review and approve invoices according to standard policies and procedures,
Routinely audit resident files to ensure they are current,
Review and approve new leases according to established leasing policy and procedure,
Maintain an effective system of rent collection and revenue security. Initiate follow-up where payments are not made and initiate and attend to legal and collection when necessary. Be responsible and accountable for all accounts receivable,
Continually review and evaluate market rents for each property with the Director, Residential Operations and the VP, Residential Operations,
Make strategic marketing recommendations to maximize revenue per available suite (REVPAS),
Maintain occupancy and rental income levels which comply with budgeted expectations,
Staff Development - ensure onboarding plans are followed and completed for all new hires,
Ensure annual development and business plans are completed and reviewed on a regular basis per company guidelines. Provide feedback to assist in the development of staff skills on a continuous basis,
Manage staff performance to expectations and established standards,
Recognize and reward for exemplary performance when it occurs,
Ensure compliance with all legislation, including but not limited to, the Residential Tenancies Act, Labour Relations, Fire Code and Occupational Health and Safety Act ,
Participate in establishing the annual strategy for each property, including but not limited to recommendations for marketing and leasing activity, building upgrades, and resident retention initiatives,
Be familiar with and adhere to the company's Privacy, Code of Conduct, Health and Safety policies,
Ensure all vendors and contractors comply with the established health and safety policy, and immediately address any infractions, hazardous conditions, or damaged equipment,
Ensure staff wear prescribed Personal Protective Equipment (PPE) when required to do so,


Administration and Reporting:

Develop, administer and submit annual operating and in-suite capital budgets,
Complete monthly property reports, variance reports, and quarterly re-forecasts,
Perform and document monthly site and vacant suite inspections. Routinely follow up to ensure all deficient items identified are addressed in timely manner,
Assist with any Asset Management analysis and reporting as required,
Complete any other reporting consistent with requirements of the company,


REQUIREMENTS:

Minimum five years' experience industry and management related experience,
University degree or professional designation,
A passion for excellence in customer service and employee engagement and empowerment,
Ability to deal with sensitiv
