We are currently looking for a Bilingual Executive Assistant to provide administrative support to assigned executive leaders, and related senior leaders/teams within the organization.
As part of an administrative team, you will collaborate and support other Executive Assistants within the organization through back-up resourcing and project support, while also working independently.
What you will do:
- Act as the primary point of contact for assigned executives, managers and employees; communicate with clients and other external partners in support of the executives
- Provide comprehensive administrative support for the assigned executives and managers inclusive of daily schedule and calendar management and communication
- Organize meetings (onsite / offsite / virtual) including meeting room booking and setup, food, audio/visual, distribution of documents
- Prepare reports and presentations through compilation of information, proofreading, editing, and translation coordination
- Prepare internal and external corporate documents for team members and external stakeholders
- Organize and gather expense documentation and manage expense reports in accordance with corporate policies.
- Participate in departmental budget preparation, inclusive of expense planning and reporting
- Attend meetings and records notes / action items / followups
- Assist with special projects, either directly or in support of other EAs
What you need to be successful:
- College diploma in Executive Administration or equivalent
- 34 years' experience as an Executive Assistant providing direct support to senior leaders
- Strong organizational skills with multitasking abilities
- A proactive approach to problemsolving with strong decisionmaking skills
- Strong Microsoft Office skills (advanced in Word, PowerPoint, Outlook; intermediate Excel), with an ability to become familiar with firmspecific programs and software
- Professional level of verbal and written communications skills and uphold strict level of confidentiality
- Ability to anticipate needs and meet deadlines in a fastpaced quickly changing environment.
- French language skills (speak, read, write) are required
