GENERAL DESCRIPTION:

The HR Systems Administrator (Administrator) reports directly to the Senior Manager HR/Recruitment (Senior Manager) at The Neighbourhood Group Community Services (TNGCS) in Toronto and is an integral member of the HR team, responsible for providing administrative support to all aspects of the HR/Payroll systems and databases.

The incumbent provides excellent customer service to staff and external sources. They are well versed in HR legislation and payroll administration. The incumbent has additional responsibility to administer and maintain Benefit and Pension programs.

Errors must be caught and reconciled quickly to avoid potential issues with staff, collective agreements, TNGCS policy, legal compliance, etc.


MAJOR DUTIES:


  • Complete all data input of biweekly payroll documentation, completing salaried and hourly payroll functions to ensure staff are onboarded, offboarded, and paid in an accurate and timely manner.
  • Liaise and follow up with HR team members and Managers to ensure accuracy of employee documents and data.
  • Accurately administer employee group benefits and pension enrolment, changes, and terminations in a timely manner
  • Responsible to set up each new hire and ensure valid data transfers from managers to the HR/Payroll system.
  • Prepare reports as required.
  • Issue Records of Employment (ROE) through ADP and Service Canada website.
  • Maintain soft copy filing system for all submitted HR/Payroll documents. Create hard copies of documents for filing.
  • Maintain confidentiality at all times.
  • Other duties as assigned.

REQUIREMENTS & QUALIFICATIONS:


  • Completion of postsecondary education in Human Resources or equivalent years of relevant HR experience
  • Working towards or having achieved CHRP designation is an asset
  • Minimum 2 years' experience in HR and payroll processing and Benefits administration.
  • Minimum 1year experience using HR/Payroll systems for data input. Experience using Workforce Now is an asset.
  • Experience working in a HR department in a unionized environment is an asset.
  • Knowledge of employment related legislation such as Employment Standards Act, Human Rights Act, etc.
  • Demonstrated respect for confidentiality of employee information
  • Commitment to quality, accuracy and excellence in the execution of work.
  • Detail orientated. Ability to handle multiple competing priorities and deadlines
  • Excellent customer service experience resolving matters brought forth by managers and staff
  • Trustworthy, ability to handle highly sensitive and confidential information
  • Strong verbal and written communication. Able to work effectively with staff and management at all levels
  • Strong judgment, analysis, and time management. Ability to effectively handle stressful situations.
  • Selfstarter. Resourceful and independent
  • Accountable for payroll and benefits administration, and reporting under supervision of Senior Manager
  • Assists HR team, management and staff by responding to questions.
  • Follows organization policies and helps create policies within the HR department
  • Requirement to maintain confidentiality of employee information
  • Must follow appropriate/applicable internal controls
