The primary role of the Office Manager is to maintain all office operations and procedures


Some responsibilities include:

  • Assist in maintaining and managing operations for all office administration functions.
  • Responsible for receptionist functions including, but not limited to, professionally handling and greeting visitors and processing telephone calls.
  • Assist in sending and receiving mail, couriers and deliveries, including filing and distributing incoming files and packages.
  • Maintain and update the inventory of office supplies, promotional materials and employee uniforms as needed.
  • Maintain all office accounts and contracts including, but not limited to, utilities, IT functions, vehicles and rental car bookings, phone contracts, etc.
  • Ensure the office remains well maintained and in good repair, liaising with building management as needed.
  • Support the integrity of the company's physical and digital filing systems.
  • Support project staff (Team Leads, Project Managers and Project Coordinators) including, but not limited to, opening projects and entering tasks and budgets in GEMS time tracking, billing and project management software, GEMS invoice follow-up, generating and distributing routine system reporting and auditing compliance with GEMS operating procedures and norms.
  • Foster and participate in a Health & Safety culture.
  • Responsible for tracking and maintaining records of employee training, qualifications and professional designation(s) including coordinating onboarding and offboarding, as required.
Any other reasonable activity required by management/leadership.


Salary:
$50,000.00-$65,000.00 per year
