Duties Include:
Provides core administrative services to support the Executive Director of the Catholic Children's Aid Foundation and their Executive Assistant in:
Fund Initiatives;
Grant Applications;
Fund allocation and accounting;
Provides a range of administrative support functions arising in the day-to-day operations of the Foundation, including screening calls, and making calls on behalf of the Executive Director of the Catholic Children's Aid Foundation and their Executive Assistant using discretion and judgment as to information conveyed; responding to routine queries;
Assists the Executive Director of the Catholic Children's Aid Foundation and the Executive Assistant in delivering Catholic Children's Aid Society programs such as Scholarships, Tutoring, Summer Camp, Christmas, and other programs as identified by the strategic and operational plan;
Ensures effective management of the Catholic Children's Aid Foundation records by maintaining, and developing where necessary, sound administrative systems for the storage, tracking, and security of the Executive Director's files and documents, and materials related to fundraising, donors, financial statements, reports, analyses, and correspondence;
Provides administrative and event planning/logístical support to the Executive Director of the Catholic Children's Aid Foundation and the Executive Assistant in all annual special projects and major gift programs;
Supports the Executive Assistant regarding agendas, meeting minutes and communications;
Works in cooperation with the CCAS staff regarding shared resources and conjoint activities.

Orders supplies as required;
Works with the Executive Director of the Catholic Children's Aid Foundation to promote awareness in the Catholic community with respect to the Catholic Children's Aid Foundation's mission;
Works in a safe manner in accordance with the Catholic Children's Aid Foundation's Health and Safety policies and procedures and all relevant legislation;
Other duties as assigned.

Qualifications Required

College Diploma and/or an Undergraduate degree;
Two (2) years experience in an administrative capacity or equivalent, experience in the fundraising sector;
Excellent knowledge of, and demonstrated skill in using personal computers and software such as Microsoft Office Suite such as Word, PowerPoint, and Excel 2010 and social media admin;
Demonstrated experience and knowledge of administrative systems and services, including basic accounting, and filing systems, which are integral to the management of information, the tracking of documents, and planning and evaluation processes related to fundraising and financial management;
Strong organizational and analytical skills to organize and prioritize work and balance multiple administration projects at once;
Strong interpersonal skills, in conjunction with sound judgment, to respond to a variety of inquiries on behalf of the Executive Director of the Catholic Children's Aid Foundation;
Excellent verbal, written and listening communication skills and interpersonal skills to work effectively with individuals and groups from a variety of diverse communities and to resolve conflict in an effective manner;
The ability to work with independence, and as part of a team.
