We are seeking a dedicated and highly organized Operations Project Coordinator to join our dynamic team in the mental health and addictions industry.

As an Operations Project Coordinator, you will be responsible for supporting and coordinating various projects and operational tasks to ensure the smooth functioning of our services.

Your exceptional project management skills and understanding of the industry will contribute significantly to enhancing the quality of care we provide to our clients and their families.


Key Responsibilities:

Administrative Support

  • Assist in daily administrative tasks related to the daytoday operations of clinical programs.
  • Ensure medical records are complete and closed in the electronic medical record (EMR) system.
  • Send out discharge summaries/medical documentation/letters to referring parties (e.g. physicians, healthcare facilities, insurance companies, agencies, etc.) as required.
  • Scanning and uploading patient health information (PHI) into the EMR as required.
  • Coordinate and schedule meetings and events relevant to project objectives.
Project Coordination

  • Collaborate with crossfunctional teams to develop project plans, set timelines, and define project deliverables related to supporting clinical programs.
  • Monitor project progress, identify potential roadblocks, and work proactively to resolve issues to ensure project milestones are met.
  • Regularly communicate project status updates to stakeholders, including senior management, to keep them informed of progress and challenges.
Continuous Improvement

  • Lead and support continuous improvement initiatives within the organization, seeking opportunities to enhance operational efficiency and effectiveness.
  • Identify costsaving opportunities without compromising the quality of services.
  • Implement strategies to optimize resource utilization and reduce unnecessary expenses.

Qualifications and Requirements:


  • Minimum of five years of fulltime work experience in a healthcare setting, preferably in the mental health and addictions industry.
  • Graduate of a healthcarerelated program or equivalent at a college/university level.
  • Canadian Health Information Management (CHIM) professional designation to ensure the accuracy, privacy, and security of PHI.
  • Compassionate, empathetic, and culturally sensitive approach in dealing with clients and team members exceptional interpersonal skills.
  • Strong organizational and time management skills, with the ability to manage multiple projects/tasks simultaneously.
  • Proficiency in using project management software, Microsoft Office Suite, and data analysis tools.
  • Familiarity with mental health and addiction programs/services, and regulatory requirements.
  • Excellent communication skills, both written and verbal, to effectively interact with diverse stakeholders.
