Job Summary
The Events Coordinator is responsible for providing administrative support to the Events Management department. They will respond to inquiries promptly and efficiently, as well as manage internal and small-scale events.


Duties and Responsibilities

  • Provide administrative support to the Events Management Department, including arranging meetings, producing agendas/reports, taking meeting minutes, updating and maintaining departmental information, and managing office supplies and internal mail.
  • Assist Events Managers and Operations staff with event coordination.
  • Program electronic signage (i.e. Hall Entrances, Airport Road, Conference Centre, Lot Directory) for Events Management.
  • Oversee the insurance collection and approval process for all events.
  • Assist in site inspections with clients, exhibitors, and service providers when necessary.
  • Provide weekly advisement to ATM suppliers regarding upcoming events, highlighting high traffic events
  • Manage internal and smallscale events (as assigned) including exhibitor orders.
  • Administer event sampling forms including receiving, approving, and communicating directly with exhibitors.
  • Maintain and build relationships with internal and external clients and service providers on eventrelated matters.
  • Oversee the reception area of Event Management Office.
  • Maintain accounts and contact information in the software program (EBMS) as needed.
  • Provide support to other departments and staff as approved by the Director of Events Management and undertake other duties and special projects as assigned.

Working Conditions

  • This is a fulltime officebased position requiring presence for 5 days a week.
  • Occasional evenings and weekends may be required.

Job Specifications and Qualifications

  • Minimum of (2) two years' experience in an administrative role
  • Experience in event coordination at a venue is highly desirable
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Word, Excel, Outlook, and basic PowerPoint skills
  • Strong organizational, project management, multitasking, and timemanagement skills with the ability to handle multiple projects while meeting strict deadlines.
  • Excellent interpersonal and communication skills (written and oral) with a professional demeanor and the ability to connect with a diverse range of stakeholders.
  • Experience with eventbased software an asset (i.e. EBMS, Delphi).

Salary:
$40,000.00-$45,000.00 per year
