Job Summary


Reporting to the HR & Operations Manager, the Facilities Assistant is primarily responsible for supporting the overall comfort, cleanliness, and customer experience for Emond Harnden staff and visitors.

The incumbent to this position will also have overall responsibility for day-to-day operations, liaising with contractors, performing maintenance activities, purchasing supplies, and responding to facility service requests from internal stakeholders.


Specifically, the Facilities Assistant will:


  • Manage relationships with vendors: supplies, equipment, and services;
  • In conjunction with the Management team, plan and facilitate office renovations and improvements;
  • Maintain accurate and uptodate floor plans and emergency evacuation plans;
  • Ensure the workplace is compliant with legislative requirements relating to Health & Safety, AODA, Bill 168 and Covid19 (contributing member of the JHSC);
  • Ensure optimal operation of office equipment and inventories with preventive maintenance;
  • Procure and store supplies including paper, office supplies, kitchen supplies, furniture, etc.
  • Organize and execute office and workstation moves;
  • Create, maintain, and optimize storage solutions;
  • Maintain boardrooms and other common areas such as kitchen, central filing, supply cabinets and the servery;
  • Prepare boardrooms daily for onsite client meetings;
  • Maintain vehicle lists and enforce parking restrictions as appropriate;
  • Complete miscellaneous operational tasks as required.
  • Proficient in Microsoft Office, with aptitude to learn new software and systems;
  • Able to lift up to 50 pounds;
  • Bilingualism in English and French an asset;
  • Strong timemanagement skills and multitasking ability;
  • Proficient in Microsoft Office, with aptitude to learn new software and systems.
