their families. Variety is seeking an enthusiastic, goal-driven individual to join the team responsible for ensuring a
positive and safe experience for our members.
Summary:
Reporting to the Manager, Fundraising, the successful incumbent will work closely with the Manager, Brand &
Communications and Membership and Programs departments. As an Events Producer, you will serve as the point
of contact on the production side of all events, being responsible for the third parties involved in the execution,
development, and production of the deliverables.
Responsibilities include, but are not limited to:
- Support Facility, Membership, Programs, Teams, Fundraising & Events with event planning and
- Event Production: Lead all show productionrelated elements for events including creating the
- Act as a point of contact for events.
- Works closely with the team to coordinate logistics, provide timelines, costing and any show related
- Schedule onsite loadin and loadout for all parties including sponsors/exhibitor activations.
- Responsible for proactively identifying resources and sourcing items for events needs.
- Assist with speaker management and coordinate from preevent through to execution.
- Create all production runs of shows and coordinate scripts ensuring all scripts have been received and
- Liaise and engage with sponsors on activation and onsite requirements.
- Liaise with sponsors directly to ensure their requirements are being met and they have received proper
- Create and send sponsor documentation as related to each event (FAQ, support, Communications).
- Research and periodically implement new production formats, technologies, and solutions that could
- Schedule and take ownership of all events related elements (recordings, rehearsal, arrivals etc.).
- Handle any issues as and when they arise and oversee problem until resolution.
- Source, manage and coordinate all AV and technical requirements.
- Collect and distribute all presenter slides and event related materials (bios, headshots, waivers, etc.).
- Manage online event ticketing platforms, make updates and collect and store data.
- Research and post events on event sites, social where needed and send invites to local community
- Manage and coordinate 50/50 online raffles at sports events.
- Liaise and work with donors, sponsors, stakeholders, and members.
- Help collect and solicit vendors for gifts in kind and donations for events.
- Virtual Tech platforms: for virtual or hybrid events, where applicable.

Test speaker equipment and connectivity, provide backgrounds and ensure all technical elements
function for the event.
- Participating in company training that includes Health & Safety, AODA, and Plan to Protect.
- Participating in Variety's Orientation program and adhere to established organizational policies and

Key Competencies and Qualifications:
- Completion of a postsecondary degree or diploma program.
- 4+ years of inperson event experience, including trade show experience.
- 1+ years of virtual event experience.
- Working knowledge of social media platforms, functionality for posting support during events.
- Keen desire for developing innovative experiences as a creative thinker.
- Observant: ability to independently pick up cues and connect the dots to anticipate or trouble shoot.
- Comfortable managing unforeseen circumstances and stressful situations, such as challenges/disruptions
- Working knowledge of Adobe Creative Suite, Canva, Eventbrite and Canada helps is a plus.
- Highly collaborative problem solver with a "can do" attitude.
- Willing to take instructions and a willingness to learn on the job.
- Comfortable working in a fluid environment where being flexible and adaptable are key.
- Proven project management skills, including overseeing multiple projects, concurrently.
