POSTION SUMMARY:

Empties to WINN collects empty bottles from residential and business customers and the proceeds help run programs at our
Community Opportunities Day Program and our Home Services to support our individuals with diverse abilities.


We are looking for someone who is enthusiastic and able to promote a program which generates funds for a good cause.

The role needs you to be comfortable interacting with donors over the phone, responding to donors and driver's questions and requests.


Reporting to the Manager of Empties to WINN, the Operations Administrator completes multiple tasks each day, working on a diverse team to create and maintain smooth and efficient administrative operations for the Empties to WINN team, organizing files and reports, scheduling daily routes, assisting in events and taking meeting minutes.


RESPONSIBILITIES:


ADMINISTRATION:


  • Responsible for preparing meeting agendas and taking minutes as requested and distributing in a timely manner, ensuring appropriate follow up to outstanding items
  • Ensure all purchase orders are approved, and invoices for purchase orders are accurate when sent to Finance
  • Provide direct mid to advanced level administrative and office management support to the manager of the Empties to Winn team, as directed.
  • Coordinate logistics for meetings, seminars, workshops, Canada Summer Jobs Canvassers, special projects, presentations and events as requested.
  • Preparation and review of documents, reports, and correspondence as requested with close attention to format, content, grammar, spelling.
  • Troubleshoot and/or escalate office administration issues to the manager

COMMUNICATION:


  • Provide accurate descriptions of Empties to WINN products and services for inquiries
  • Review and resolve donor complaints
  • Maintain daily contact with the Empties to Winn drivers.

DATABASE MANAGEMENT:


  • Maintain current and accurate records in all databases
  • Create weekly route schedules and manage route sizes as required
  • Prepare and review documents, reports, and correspondence as requested
  • Maintain monthly bottle inventory counts
  • Create, maintain, and archive monthly bottle depot schedule sheets
  • Maintain a strong understanding of all software and systems, with the ability to identify technical support needs

LOGISTICS:


  • Responsible for the planning, coordination, and monitoring of daily routes, collecting and analyzing stats from the daily runs, and ensuring accuracy of completion
  • Daily coordination with Empties to WINN Drivers and monitoring routes
  • Maintain vehicle logs, monitor vehicle inspection reports and escalate any issues
  • Create and accurately manage vehicle maintenance and service schedules

EDUCATION & EXPERIENCE:


  • A Diploma or equivalent postsecondary education in Office Administration or Business Administration, or any related field
years' working with in a similar role with demonstrated organization and time management skills in an office environment

  • 1+ years' working with database and data entry software
  • A combination of education and experience may be considered

SKILLS AND COMPETENCIES:


  • Strong presentation, written and verbal skills
  • Effective Communication skills with individuals at all levels of the organization
  • Excellent interpersonal skills, ability to develop relationships with customers and donors
  • Ability to work independently and in a team
  • Maintain confidentiality and professionalism at all times
  • Ability to multitask and prioritize to meet set deadlines
  • Advanced working knowledge of MS 365, Outlook, Google Suite and SharePoint

REQUIREMENTS:


  • Vulnerable Sector Security Clearance

LOCATION:


Full-time on-site position located at our main office, Winnifred Stewart Association, Street, Edmonton, AB, w orking Monday - Friday 8.30am - 4pm.
