COMMITTEE COORDINATOR

CONTRIBUTING TO THE CMPA


Medico-Legal Services' (MLS) core function is to provide members with general medico-legal advice, and assistance in responding to College and hospital matters and legal actions arising from their medical professional work.

The department is also responsible for coordinating the council committees related to case management:
Case Review Committee, Case Management Overview Committee and Extent of Assistance Committee.


POSITION OVERVIEW


The Committee Coordinator is responsible for providing comprehensive administrative support to, and is a key point liaison for, internal committees and committees of CMPA Council.

These committees are comprised of Councillors, Senior Management, Physician Advisors, and General Counsel.


The Committee Coordinator is accountable for the integrity of meeting materials which must be assembled in a timely, structured and precise manner.

Information of a highly confidential and sensitive nature is involved and the work must be performed in a discreet, accurate and efficient manner.


In addition, the Committee Coordinator works in the capacity of a Medico-Legal Assistant, assisting as required, the Director, Senior Physician Advisors, and Physician Advisors of MLS.


POSITION ACTIVITIES

  • Coordinating activities related to and serving as the administrative support to internal meetings and committees of Council, as assigned.
  • Preparing and distributing agendas and meeting materials for committee meetings.
  • Recording, preparing, and distributing Minutes; this task requires a highlevel understanding of both legal and medical terminology.
  • Preparing corporate documentation such as Decision Support Sheets (DSS), committee work plans, and quarterly reports to Council.
  • Providing backup support to Medicolegal Assistants for all aspects of case file management.
  • Assisting with updating departmental policies, protocols, procedures, and related documentation.
  • Coordinating frequent and complex meeting logistics.

EDUCATION AND EXPERIENCE

  • Diploma or Certificate Program (23 years) in Business Administration, Medical/Legal Administration or related field
  • Additional courses in medical terminology required (if not from a medical program)
  • Case file management experience would be an asset
  • A minimum of 4 years general office administration, including secretarial experience

SKILLS AND ABILITIES

  • Excellent English communication skills (written and verbal)
  • Typing 50 words per minute
  • Knowledge of formal meeting procedures (i.e. voting on motions, need for quorum, etc.)
  • Ability to record and prepare clear and concise minutes of meetings, and to accurately summarize complex issues raised during meeting discussions
  • Write, edit, proofread, gather and present information. High degree of discretion, accuracy and attention to detail
  • Strong ability to work independently and as part of a team/jobshare and the ability to liaise with all levels of staff across the organization in a professional and courteous manner including Council members and legal representatives
  • Ability to handle confidential information with discretion and diplomacy
  • Ability to remain professional while attending to multiple priorities, take initiative, and use sound judgement
  • Knowledge of medical terminology and legal terminology would be an asset
  • Ability to read French, including material with medical and legal terminology would be an asset

POSTING DETAILS

  • Job Type: regular fulltime opportunity
  • Salary Range: $68,000 to $79,100 this role is classified as level 0
  • Location: Hybrid
  • Primary Remote you can work from a homebased office the majority of the time, with regular onsite presence at the CMPA office (up to 12 days per week). If you prefer to work in an office setting as your primary workspace, you can choose to work out of the CMPA's office.
