Wholistic Growth & Partnership:

The division of WG&P is responsible for funding streams, and fundraising of the organization. This division spearheads grant funding and donation requests, bringing forward new opportunities that fit our mission. This division will help set and build the future of the Pinnguaq Association.


What does success look like at Pinnguaq?

  • Engaging with thousands of young learners and adults across the country through the delivery of communitycentred workshops
  • Designing and deploying interactive experiences, online learning modules, and maker kits to teach STEAM fundamentals to all ages
  • Publishing the nationallyrecognized Root & STEM magazine to create a space to explore diverse voices and stories in STEAM
  • Operating makerspaces in Nunavut & Ontario providing handson access to tools, equipment, and training for inquisitive minds and makers

What does success look like as a Fund Development and Reporting Coordinator:

  • Grant cycle is efficiently tracked and documented from prospecting, proposal development and submissions to reporting and follow-up using Donor Perfect and Google Suite to ensure compliance and accuracy of funding opportunities.
  • Donations are formally tracked and documented using Donor Perfect to ensure information is captured accurately, safely recorded and stored for accounting purposes and issuance of CRA receipts and thank you letters.
  • Ensure a smooth coordination of grants, donations and reports with internal stakeholders and external community partners to support collaboration and teamwork
  • Coordination of timely reporting to funders/donors in advance of due dates by securing input from program delivery teams to ensure funding partners understand the value of the dollars they contribute and the impact their support has on beneficiaries and communities.
  • The story of Pinnguaq's impact is well understood/shared and connections with Funders/Donors are professional and meaningful.

GRANT RESPONSIBILITIES

  • Become proficient and support implementation of Donor Perfect to transition from excel spreadsheet tracking to database grant/relationship management as they lead administrator for the database.
  • Assist in researching and seeking out new opportunities for grants and foundations that will generate revenue for programs and track these opportunities through a grant pipeline using Donor Perfect.
  • Supports the administration and development of grants including finalizing contribution agreements, drafting and coordinating Letters of Support and other documents
  • Provide status reports on grant pipeline when needed using Donor Perfect and other resources

FUNDRAISING RESPONSIBILITIES

  • As part of a team, support the creation and implementation of annual fund development strategies for donor and sponsorship acquisition.
  • Outreach to interested prospects to cultivate and steward relationships towards donation/sponsorship.
  • Coordinate and help execute the implementation of stewardship strategies that strengthen longterm relationships with donors, including: acknowledgment letters; thank you cards; donor appreciation events; and other communications.
  • Monitor Third Party processors (Donor Perfect, Canada Helps, Benevity, etc).
  • Lead database input, reconciliation, maintenance, reporting. Process all financial transactions, issue tax receipts, produce thank you letters, etc. Institute standard database use/practices.
  • With support from the Chief Development Officer develop a process to track, monitor and prompt recognition/promotional requirements

REPORTING/EVALUATION RESPONSIBILITIES

  • Using either Donor Perfect or Monday database to track and monitor reporting timelines and requirements.
  • Coordinates report development and administration of postaward grants by working with the program delivery team on reporting/evaluation requirements and templates
  • Work closely with new Evaluation Specialist to support the development and implementation of new evaluation and reporting methodology to improve collaboration, create efficiencies in process and establish consistent protocols for execution
  • Liaise with Delivery and Finance team to ensure appropriate evaluation is completed in a timely manner ahead of due dates
  • Support qualitative and quantitative evaluation report submissions through tracking due dates, prompting/communicating with stakeholders on grant measurement deliverables and performance indicators and lead coo
