8:30am to 4:30pm / Monday to Friday

(Hybrid + Flexible Work Options Available)

Pay Grade G ($50,714 to $54,295 per annum)

The Coordinator facilitates daily operational activities, recommends improvements to team workflows, and helps promote effective collaboration and project management. The Coordinator also provides administrative support to the department and proactively maintains the team's systems and procedures.

Some Typical Duties Include:


  • Coordinates operational activities for the Communications + Marketing department, supporting the effective daytoday functioning of the team.
  • Supports project management by creating tasks, tracking progress, and presenting solutions for team review.
  • Under the direction of the Executive Director, creates, improves, and maintains systems and procedures to enhance team workflows and support collaboration with other departments.
  • Under the direction of the Executive Director, proactively manages the team's internal knowledge base and resource library. Creates checklists, templates, process maps and documentation.
  • Conducts research in support of communications and marketing activities, including web research and media scans. Prepares briefing notes for the Executive Director.
  • Collects data and reports on key performance indicators to help evaluate the impact of team activities.
  • Assists with the production and management of digital media, including photos and videos.
  • Organizes and supports online and inperson events, such as webinars, committee meetings and community engagement sessions.
  • Assists with quality control of communications and marketing deliverables, including proofreading.
  • At the direction of team members, schedules meetings, prepares agendas, takes notes and tracks key decisions and action items.
  • Assists in the management of the Executive Director's schedule by arranging meetings and resolving schedule conflicts.
  • Provides administrative support to financial tasks such as budget tracking, purchase orders, invoicing, expense claims and time reports.
  • Keeps shared office spaces organized and orders equipment and supplies for the department as directed.
  • Submits and tracks departmental service requests to IT Services and Facilities. Provides associated updates to team members.
  • Performs other related duties as required.

Required Qualifications

  • Twoyear certificate or diploma from a recognized postsecondary institution in communications, marketing, business administration or a related field.
  • Minimum three years of related experience.
  • Or an equivalent combination of education and experience.
  • Experience working in the arts, creative industries or postsecondary sector is an asset.
  • Excellent verbal and written communication skills.
  • Excellent organization, prioritization, and time management skills.
  • Strong analytical and research skills.
  • Basic financial administration skills.
  • Ability to take initiative and act as a creative problemsolver.
  • Ability to maintain accuracy and attention to detail.
  • Ability to collaborate with others to establish policies, procedures, and guidelines.
  • Ability to exercise mature judgment, initiative, diplomacy, and tact.
  • Technologically oriented and a selfdirected learner. Ability to quickly adopt new tools and software (e.g. Asana, Canva, Mailchimp, WordPress).
