Our strategy, facilities, partnerships and resources are intentionally student-centred to foster dialogue, expression and open connections in support of the next generation of creative and cultural leaders.- The Registration Assistant coordinates registration procedures and registration data for all CS Programs.

As a part of a collaborative team, this position is responsible for maintaining and updating student records and information in Colleague, coordinating the functionality of myEC online registration system for CS, issuing documentation, registering students and handling financial transactions, and serving as the front-line contact for prospective and returning students seeking general information about CS offerings.


Some Typical Duties:


  • Coordinates registration information and procedures for all CS Programs and oversees the functionality of myEC web registration in conjunction with Colleague. Maintains registration processes and workflows and makes recommendation for improvement.
  • Coordinates creation and maintenance of student records and data in Colleague. Conducts endofterm reviews to ensure accurate and complete information. Collaborates with other staff as needed for updates or corrections.
  • Trains staff on usage and troubleshooting of myEC web registration system utilizing Colleague. Trains new and temporary staff as required.
  • Provides general program information to the public, students and University community regarding admission, registration, tuition fees, and transcripts for all Continuing Studies courses and programs. Refers complex issues to appropriate staff.
  • Provides students with electronic registration statements, confirmations of enrolment, transcripts and course completion letters.
  • In collaboration with Programs Assistant, issues certificates and other credentials or documentation as needed.
  • Processes registration and credit card payments for all Continuing Studies courses and programs and provides general administrative support as required.
  • Processes withdrawals, tuition waivers, gift certificates, and tuition vouchers and prepares and delivers documentation to complete refund and payment processes with Financial Services.
  • Tracks outstanding tuition payments and amounts owing to students, with appropriate followup with students and Financial Services.
  • Provides financial information and documentation to Financial Services for yearend reconciliation processes.
  • Maintains registration procedures and makes recommendations for changes as needed, in consultation with Manager of Operations.
  • Performs other related duties as requested.

Required Qualifications

  • Grade 12 plus a business management, office administration or other related twoyear certificate.
  • Minimum two years' relevant office and administrative experience, including records/registration experience in a postsecondary institution.
  • Or an equivalent combination of education and experience.
  • Experience related to art and/or design continuing studies an asset.
  • Considerable experience in office procedures, large database programs, and other computer software, including Word and Excel.
  • Knowledge of Colleague an asset.
  • Thorough knowledge of office procedures and computer software.
  • Accurate word processing skills, as well as ability to use Colleague (or equivalent database).
  • Welldeveloped organizational skills including the ability to work independently and prioritize tasks and work well under pressure.
  • Detail oriented and the ability to proofread with accuracy.
  • Ability to communicate well with faculty, students, administrative staff and public is essential.
  • Ability to coordinate tasks and workflow with coworkers.
