***: A supportive, service-focused role intended to bolster the operational and administrative requirements of the greater Property Management Department in the pursuit of the overall Company Mission of Service Excellence and Tenant Satisfaction/Retention across the portfolio.
MINIMUM EDUCATION/EXPERIENCE REQUIRED:
- High School Diploma. Postsecondary degree/diploma in Hospitality and/or Administrative Support preferred
- Minimum 23 years involvement and experience in Customer Service, Hospitality, Administration or similar roles preferred
- Proficient on Microsoft office programs, including Word, Excel, Powerpoint and Outlook
DIRECT REPORTS
- Assist in oversite of all Superintendents and Field Staff
KEY CONTACTS:
Internal:
- Office Support Staff, Property Managers, Accounting Department and Leasing Personnel, Superintendents and Field Staff
- Ownership and Senior Management
External:
- Tenants, Contractors, and Service Providers.
WORKING CONDITIONS:
- Normal office environment with irregular field trips to inspect properties and projects as required.
- Regular Tenant and Client interface as required.
KEY SKILLS & RESPONSIBILITES:
- Assists in providing daily Operations management and support to the greater Property Management Team
- Ensuring positive response to the needs and concerns of all Tenants with a mindfulness to meet the Investment objectives of Ownership
- Develop and maintain ethical, professional, and courteous relations with Contractors and Service Providers
- Manages all Tenant Service requests
- Assist with the management and development of all Field Personnel
- Handle the administration and vendor management of all activities related to the physical operation of the property, including, but not limited to: service procurement, fire safety inspections, contract preparation and management, inspections, filing, etc.
- Assist with the management of fiscal activities of the property including, but not limited to: accounts receivable, cell equipment, vacancy tracking, insurance claims, etc.
- Core Management of Tenant Retention efforts and seasonal events
- Interact with all fellow employees, visitors and contacts with poise, etiquette, and diplomacy
- Maintain a calm demeanor in emergencies
- Compose and maintain templates of business letters and various communications, expositions, summaries, and reports, using proper format, punctuation, grammar, diction, and style
- Speak with tenants, contractors and clients with confidence, using appropriate communication skills/style
- Demonstrate strong initiative and customer service orientation
- Establish and maintain a cooperative working atmosphere among staff
- Exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions
- Perform numerical and financial calculations
- Analyze and interpret various types of data to draw conclusions and solve problems
- Assist in responding to and directing all emergency procedures as required
- Establish and execute emergency plans and practice drills
- Miscellaneous project work as assigned
- Other Duties as Assigned
