6 month Contract

Position Summary
Reporting to the Manager, Community Services, the Special Event Coordinator
will work with the department in the development and implementation of quality
events as required. On event days, the Special Event Coordinator supervises the
event volunteers and coordinates the vendors. The Special Event Coordinator
will be the point of contact for all event related inquires.

Management, Public Relations, Recreation or a related field

Minimum 3 years work experience in an event management position

Municipal work experience is considered an asset


Knowledge
liability insurance requirements, Health and Safety Act, Public Health
Regulations, Planning/ building code, Alcohol and Gaming Commission
(AGCO) and Technical Safety Standards Authority (TSSA)

Risk Management of Public Events

Working knowledge of NRPS requirements for Public Events


Skills
Basic accounting skills

Excellent proficiency with Microsoft Office Suite Software

Excellent customer service skills with the ability to community well, both in
writing and orally, with a variety of stakeholders in a variety of situations

Excellent organizational and administrative skills with the ability to work as
part of a team


Certifications
Standard First Aid with CPR-C and AED certification

High Five (PHCD) would be considered an asset

Valid driver's license, Class "G"


Duties & Responsibilities

Customer Service
Primary intake contact for Special Event inquiries and Special Event
Permit Applications

Respond to needs of attendees, service providers, staff and volunteers on
event days


Event Planning and Execution:

Delivery of City led special events, including, but not limited to Canada
Day, the Thorold Community Market and the Thorold Santa Claus Parade

Coordinate and act as on site contact for vendors, staff, volunteers,
entertainment, programming, risk management, site plan, traffic control,
logistics, budget and supplies

Work with Community Relations Specialist to market and promote events

Coordinate set up and tear down of events, monitor event timelines to
ensure activities run smoothly and on schedule


Volunteer Supervision
Act as first point of contact for Event volunteers

Recruit and engage potential volunteers

Train, supervise and manage volunteers for special events


Administration
Manage budget, receive invoices, track invoices for payment

Research and schedule vendors, performers and service providers

Provide Event and Volunteer content for website and social media

Collect documentation for external Special Event Applications

Track and meet planning milestones

Document contracts and insurance requirements for vendors, entertainers,
participants and service providers as required

Track and monitor KPI's for City led events, to provide post event reports
as required

Ensure vendors, staff, volunteers, entertainers and service providers are
compliant with contracts/ agreements, regulations and municipal policy

Assist in arranging sponsorship for events

Other duties as assigned


What the City can offer you:
The City offers a competitive hourly wage $32.31 per hour
(35 hours per week,
approximately 6 month contract).
