PHS Community Services Society is hiring an HR Scheduler in Vancouver, Monday to Friday 2:00PM to 10:00PM.


Reporting to the HR Manager and Senior Managers of Programs and Housing, the Scheduler is responsible for ensuring that all scheduling vacancies are filled by qualified unionized staff, using approved protocols and processes.

The Scheduler is responsible to ensure that all supervisory staff (unionized and excluded managers) are aware of all changes to their project or program staff schedules, and that the appropriate changes have been made in the HRIS system to ensure correct information is displayed.


As a member of the Human Resources and Coverage Team at PHS, the Scheduler will have access to confidential information regarding employees on a regular basis.

Responsibilities

Job duties include (but are not limited to):

  • Receives absence notifications from employees and documents reasons for absence in an organized and consistent fashion.
  • Calls out and fills shift vacancies using approved methodology.
  • Enters filled vacancies in the HRIS system to ensure schedules are accurate and uptodate.
  • Notifies management of absences as required.
  • Identifies instances of understaffing and arranges coverage or redeployment of staff as necessary.
  • Resolves scheduling conflicts as appropriate and according to operational need.
  • Monitors staff schedules to ensure adherence to both Collective Agreement and Internal PHS Policy requirements.
  • Establishes effective employee relationships at all levels based on trust, experience and credibility.
  • Work in partnership with the wider HR team in the planning, implementation, execution and rollout of HR programs and processes.
  • Provides back up for, and collaborates closely with the wider HR and coverage team, ensuring alignment of goals and knowledge sharing.
  • Respond to employee requests, inquiries and concerns in a timely and solutionoriented manner.
  • Support the HR team in the planning, implementation, execution and rollout of HR programs and processes.
  • Continually build and maintain knowledge and understanding of employment laws and regulations, ensuring legal compliance and employment standards.
  • Assist with the development of department reports (Track HR data and produce reports) and work with Payroll and other departments to compile data. Analyze HR metrics through data retrieval from the HRIS systems and make recommendations to the HR processes.
  • Performs other related duties as directed.

Education and experience:


  • Grade 12 Minimum (Post-Secondary completion preferred).
  • Additional studies in Human Resources Management.
  • Demonstrated knowledge and experience in scheduling a strong asset.
  • Ability to prioritize, work under pressure, meet tight deadlines and balance a diverse workload.
  • Proven diplomacy, tact, empathy and understanding of sensitive/confidential HR issues.
  • Highly flexible, good tolerance for ambiguity, timedriven deadlines and able to adapt to changing priorities.
  • Excellent verbal and written communication skills, with the ability to tailor communications to the appropriate audience.
  • Ability to foster effective relationships with other administrative staff and operate in a collaborative, teamoriented approach.
  • Demonstrated maturity, professionalism, diplomacy, confidentiality and discretion.
  • Desire for continuous learning and professional development.
  • Experience working with marginalized populations considered a strong asset.

$52,915.20
