Ensures that all written correspondence is presented concisely and logically and is completed with proper grammar, punctuation, and spelling.

  • The Administration & Shipping Coordinator will ensure all SOP's, forms and records for the shipping operation are completed and followed.
  • Reports on major incidents, deviations and nonconformances and provides recommendations for quality improvements.
  • Provides input and recommendations for continuous improvement and cost effectiveness.
  • Supports administrative activities including but not limited to invoicing, payment processing and A/R tracking.
  • Performs shipping activities including but not limited to logistics research, quote preparation, consents, shipping documentation, communications between all shipping points, monitoring and shipment tracking.
  • Supports the transport of equipment and customer materials between Core Cryolab facilities and deliveries to local customers.


Reporting to Manager, Patient and Client Services, the Administration & Shipping Coordinator is responsible for the daily activities of administration, customer service and coordination of the shipping operation to ensure they are completed in an accurate and compliant manner.

The Administration & Shipping Coordinator ensures shipping documentation and communications, both internally and externally are clear, accurate and timely. Other duties may be assigned.

  • Post-Secondary level education (College Diploma or higher) in a relevant discipline from a recognized academic institution.
  • Minimum 3 Years of Experience in Administration and Customer Service required.
  • Experience with Quality Systems is desired.
  • Experience with Shipping & Logistics is desired.

  • Working closely with operations, coordinates shipping process.
  • Sending Technical Information.
  • Preparation of Quotes.
  • Invoicing and Payment Processing.
  • Communication with Clients at all stages of the shipping process.
  • Coordination and Communication with Clinics and Couriers.
  • Preparation of Documentation Packages.
  • Monitoring and Tracking.
  • Quality Control Checks.
  • Ensures quality control and record keeping are in accordance with SOP's. Prepares and maintains paper and computer records relating to all biorepository activities.
  • Maintains office and shipping area in an organized, clean, safe manner.
