Description

The Granite Club looking for a full time Child Activities Administrative Supervisor (RECE) who will Work closely with the management team to ensure all parent inquiries in regard to reservations and cancellations, section registrations, child or youth programs, camps, classes or lessons and events are directed to the designated supervisor.


The incumbent will ensure the Nursery Program is functioning in accordance with the program philosophy, follows policies of the Child and Youth department as well as in compliance with the Childcare and Early Years Act of Ontario.

Maintain records and requirements for the Toronto Public Health. Assist with and update all Ministry of Education Policies and Procedures. Source and implement workshops for staff professional development. Provide assistance and coverage for the Nursery Program, childcare and special events within the department.

Primary Responsibilities

PROGRAMS

  • Maintain administration for various programs including Kindergarten Prep, Parenting Workshops, Parent and Tot Camp, and Homework Support Programs.
  • Track program registration and order supplies as needed, logging all orders in the invoice tracking document.
  • Ensure Children's Activity program information brochure board is updated, and all brochures are current.
  • Update and post all essential signage in designated areas.
  • Conduct monthly Quality Standards Program Assessments.
  • Ensure room bags and backpacks are stocked with necessary emergency materials.
  • Keep departmentwide website updated.
  • Provide support to staff during breaks as required.
  • Facilitate onboarding for new educational program staff, contractors, and workshop facilitators.
  • Report damaged or unsafe equipment to the Manager and submit workorders via Angus.
  • Assist with Front Desk coverage as necessary.
  • Aid in maintaining programs and camps, including registration and cancellations, in Northstar.

NURSERY AND KINDERGARTEN PREP PROGRAM

  • Keep all staff files updated with immunization records, health assessments, CPR certifications, evaluations, and RECE certifications.
  • Notify waitlisted members when spots become available for registration.
  • Verify the currency of all epipens and contact parents for replacements when necessary, returning expired ones.
  • Conduct onboarding for new Nursery Program and Kinder Prep staff.
  • Supervise the Class Dojo Program App/Program Planning.
  • Assist staff in maintaining written records of activities and observations.
  • Address special requests from members regarding their children.
  • Guide staff in developing and implementing ageappropriate program plans aligned with the How Does Learning Happen Framework across various domains.
  • Ensure availability of snacks and refreshments.
  • Track program registrations and order supplies as needed, recording orders in the invoice tracking document.
  • Identify and report any damaged or unsafe toys, games, or equipment, and submit work orders if necessary.
  • Keep staff informed about child absences, policy changes, attendance, registration updates, and feedback from members.
  • Fulfill all Nursery program duties in the absence of staff.




OTHER:
FRONT DESK SUPPORT


  • Greet members professionally, both in person and over the phone.
  • Address guest inquiries promptly and courteously.
  • Enter reservations into North Star system.
  • Ensure the KidZone Team Lead receives all membership registrations and cancellations for the KidZone Section.
  • Aid in Access Control tasks as required.
  • Assist in ongoing monitoring of security cameras to ensure safety of staff and members in the KidZone.
  • Support continuous communication with staff through various channels such as intercom or inperson updates.
  • Perform opening and closing duties as necessary.

CHILD AND YOUTH DEPARTMENTAL PROJECTS

  • Aid in planning holiday and special events.
  • Assist the team with organizing oneoff events and activities.
  • Create and execute departmental workshops for staff development.
  • Source and implement professional development opportunities for the staff team.
  • Assist with capital requests and purchases.
  • Perform any other duties as assigned.

Work Schedule

  • Must be available to work weekends, weekdays and/or holidays, AM and PM.

Required Qualifications

  • Registered Early Childhood Educator (RECE) in good standing.
  • Minimum of two years experience in a customer service environment.
  • Minimum of three years supervisory experience working with a team.
  • Very computer literate (MS Word, Excel and Google Cloud Based).
