Description

Receptionist


The Receptionist position will be responsible for supporting the Office Services Manager in daily activities including word processing, mail and distribution, communications, central files, messenger, and supplies.

In addition, assist in the scheduling and co-ordination of all related projects. This position may act as a liaison for contractors, building security, maintenance and service providers.

Performance Expectations
Answer incoming telephone calls, determine purpose of calls and forward to the appropriate personnel or department.

Welcome on-site visitors and announce to appropriate people.

Answer questions regarding the organization, and provide callers with address information, directions, fax number and other information.

Sort and deliver all incoming mail and courier packages, process all outgoing mail and courier packages.

Help with the quarterly and yearly large mail outs.

Enter and process all Corporate Purchase Orders.

Order, receive and maintain office supplies.

Process all company ID badges for Guelph plants.

Organize and process all optional life insurance and stock purchase plan programs.

Assist with management of Social Club - vending machine, draws, etc.

Process Sunlife, Manulife, Greenshield and Co-operators monthly billing.

Prepare Pension Adjustment Reversals (PAR).

Prepare Visa payments monthly.

Keep records of bills, such as telephone and credit card bills.

Maintain and update the corporate phone list.

Work on any special projects as assigned for various departments.

Perform other clerical duties as needed.


Credentials
Post-Secondary education, or minimum three to six months related experience and/or training, or equivalent combination of education and experience.

Ability to read and interpret documents and labels such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.


Desired Characteristics
Ability to speak effectively before groups of customers or employees of organization.

Ability to organize and multitask work to respond to various in a timely and professional manner.

Ability to work independently, but coordinate work schedules with others.

Able to participate in on-going training to improve skill set.
