Reporting to the Director of Operations, the Operations Administrative Coordinator is responsible for day-to-day support services to the location along with its associates up to and including working within the ERP system, administrative and facility duties to support the business.

Administration/Facilities

  • Completes various tasks within the ERP system (AX Dynamics) for production, including the creation of production orders, which requires working closely with Customer Care and the Production Supervisors.
  • Supports the human resources department with the administration and tracking of employee training, new hire onboarding, filing and other administrative tasks.
  • Supports various departments with data entry, mailings, audits & reconciliations, along with other administrative tasks.
  • Coordinates the Joint Health & Safety Committee program which involves scheduling meetings, preparing & distributing minutes.
  • Greets visitors to the organization, ensures visitor log is completed and assigns visitor badges and tracks their return.
  • Responds to incoming telephone calls, ensuring they are answered promptly and directed to appropriate person in a professional manner.
  • Maintains company phone list, meeting room calendars and mail slots.
  • Maintains and replenishes stock of office/kitchen supplies, including completing purchase requisitions; maintains tidiness of photocopy area and meeting rooms; ensures coffee is available in office for staff/visitors.
  • Occasionally organizes catering requirement along with pickingup various items in the local community as required.
  • Maintains respectful communication with coworkers and supervisory staff
  • Follows company's ISO Quality Policy and understands the impact of this position on the competitiveness and performance of the company.
  • Performs other duties as assigned.
EDUCATION & QUALIFICATIONS

  • Office Administration certificate or equivalent
  • 24 years office administrative experience in a similar role
  • Strong Verbal and written communication skills, proactive, with good organizational and prioritizing skills.
  • Demonstrated ability to learn other software programs.
  • Experience with AX Dynamics or other ERP systems considered an asset.
