We are currently hiring for the position of:

ASSISTANT, INDUSTRY SALES & SERVICES


Reporting to the Senior Manager, Industry Sales & Services, The Assistant, Industry Sales & Services will provide essential administrative support to the Industry team including departmental financial tracking, data entry for sales, promotional and business services as well as various industry programming initiatives.


RESPONSIBILITIES:

Assist with submission and tracking of departmental invoices, purchase orders and cheque requests Oversee monthly financial reconciliation process, reviewing expense and revenue reports. Track departmental expenses across programming and services teams Coordinate Industry's annual advertising schedule with 14+ trade magazine partners Schedule and organize and be onsite for the distribution of trade magazines at Industry venues during Festival Track and deliver creative artwork to trade partners Prepare materials for meetings including agendas, presentations, critical paths and meeting minutes. Submit content, design and web change requests Submit and track creative requests for industry brochures, guides and campaigns. Log Festival film sales Provide administrative support for staff members as needed Provide research in relation to industry initiatives Attend weekly team meetings and contribute as needed in regards to individual tasks/portfolio Write a detailed post mortem


JOB GRADE & SALARY:

Job Grade 1 $2022 per hour commensurate with experience.

May October 4, 2024


WORK LOCATION:

Office Location: 350 King Street West, Toronto, ON M5V 3X5 Weekly inoffice requirements:
  • Minimum 2 days (November to May)
Minimum 3 days (June to October) Festival Office Requirements: Full Time during Festival


MINIMUM REQUIREMENTS:

Postsecondary degree/diploma (in Film, Media or related arts considered an asset) Minimum 1 year experience in an office environment Excellent organizational skills and a keen eye for detail Precise memory for names, positions, companies and situations Mature personal judgment, exhibiting a high level of professionalism and diplomacy Able to handle difficult situations and people with tact and professionalism Excellent phone manner, communication fluency and interpersonal strengths Advanced knowledge of Microsoft Office Suite, specifically Excel, Google Suite, and relational databases (experience with Artifax considered an asset) Ability to work both independently and in a team environment Desire and ability to take initiative and coordinate projects Ability to work and respond well in fastpaced and high pressure environments with a flexible schedule, including evenings and weekends Fluency in a second language considered an asset Previous festival or event planning experience considered an asset
