We are currently seeking a:


Rehab Program Assistant— (Working out of the Mississauga Office)

Full-time 1 year Contract

West Region (includes London, CW and MH areas)


The Rehab Program Assistant is responsible for providing client-facing, clerical and administrative support as assigned by the Regional Director as part of the Client Services team.

This position will support one or more Rehabilitation Teams across the organization with the processing of service referrals, assisting with waitlist management, liaising with VHA funders and welcome calls to clients and families.

The role will be directly reporting the Regional Director or his/her delegate. Job functions will be prioritized by the Regional Director in accordance with fluctuating demands and operational needs.


Key skills, experience and behaviours required for this position:

  • Relevant post-secondary school education/training combined with practical experience; knowledge of medical terminology is an asset.
  • Minimum of 2 years related work experience in customer services of a healthcare organization/agency preferred.
  • Demonstrates knowledge and sensitivity while working with individuals of different races, sexual orientation, gender identities, etc., and an ability to manage issues within a culturally diverse work environment.
  • Strong written and verbal communication skills with ability to document in a timely and efficient matter with clients and VHA staff and Service Providers.
  • Strong team player and can work effectively under pressure, adhering to deadlines.
  • Strong attention to detail and the ability to deal with multiple priorities is a requirement.
  • Knowledge and experience in data collection, representation and analysis an asset.
  • Ability to take initiative and work efficiently as part of a fastpaced, multi region Client Services team.
  • Comfortable working in a constantly shifting environment as VHA responds to changes in client and funder needs and staff availability.
  • Proven organizational and effective problemsolving skills are required.
  • Excellent telephone skills—the ability to interact professionally with callers with a client and familycentered approach to provide the client and family with a positive experience with each contact.
  • Good organizational skills with attention to detail and the ability to prioritize changing priorities and direction easily.
  • Satisfactory completion of technical skills testing requirement for the position (MS outlook, Excel, work and typing test).
  • Ability to work independently in person and/or remotely.
  • Ability to work in a team environment and communicate effectively with others.
  • Proficient in MS office including Excel, Word Outlook and MS teams.

A fully vaccinated person means you have received all required doses of a COVID-19 vaccine series approved by Health Canada or the World Health Organization, at least 14 days prior to your start date and you will need to provide proof by submitting a copy of your Ministry of Health COVID-19 Vaccine Dose Administration Receipts or government vaccination passport.
