Key Responsibilities:

SGCC is currently looking for an
Administrative Assistant (Front Desk and Accounts Payable) to undertake the following key responsibilities:


Front Desk:


  • Greet and welcome members, guests, and vendors with a professional and friendly demeanor.
  • Answer and direct incoming phone calls, taking messages and forwarding calls as needed.
  • Maintain an uptodate club directory.

Accounts Payable:


  • Process invoices and other financial documents in a timely and accurate manner.
  • Verify and reconcile vendor statements to ensure the accuracy of accounts payable records.
  • Collaborate with department heads to obtain proper approval for invoices.
  • Prepare and issue payments to vendors, ensuring adherence to payment terms and company policies.
  • Maintain organized records of invoices, payments, and related financial documents.

General Administrative Support:


  • Assist with various administrative tasks, including data entry, filing, photocopying, and faxing.
  • Reconcile and update the daily sales, accurate reconciliation of all payment methods.
  • Balance and distribute cash gratuities to servers on a weekly basis.
  • Weekly banking as required.
  • Take accurate and detailed minutes of meetings, ensuring all discussions, decisions, and action items are captured.
  • Prepare and distribute meeting agendas.
  • Perform other administrative duties as assigned by the management team.

Qualifications:


  • Completion of a high school diploma or equivalent. An associate degree or diploma in Business Administration or a related field is considered an asset.
  • Previous experience as an administrative assistant, receptionist/front desk, or in accounts payable is preferred.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and the ability to manage multiple tasks simultaneously.
  • Capacity to maintain a high level of confidentiality and professionalism.
  • Solid organizational and timemanagement abilities.
  • Familiarity with basic accounting principles is desirable.
  • Knowledge of Canadian accounting standards and practices is a plus.
  • Understanding golf or country club environments is an advantage.

Work Conditions:


  • The Administrative Assistant may be exposed to confidential and sensitive information and is expected to maintain the utmost discretion and confidentiality.
  • Schedule is Monday to Friday, 9:30 am to 3:00 pm
