A_n Intake Clerk II_.

The Intake Clerk II performs a variety of data base, administrative, and scheduling functions in support of client intake at Wheelchair Services.

The Intake Clerk II is responsible to provide an efficient flow of information for service by preparing, prioritizing, and scheduling work orders.

This role starts in February 2024.


Your Role

  • Receives service requests; including repairs, parts delivery, or parts to be mailed out, annual preventative maintenance, and from prescribers for the provision of wheelchairs to new clients.
  • Enters data pertaining to intake function into database. Prepares electronic work orders initiating service provision, schedules and organizes repairs, delivery, annual preventative maintenance, exchange or pick up of wheelchairs by technicians, area and route in a manner which balances client availability, availability of parts and technician efficiency.
  • Schedules and organizes all in house appointments for power wheelchair repairs and referrals by technician in a manner which balances client availability, availability of parts and technician efficiency.
  • Trouble shoots daily conflicts in schedules, ensures urgent and emergency calls and referrals are given priority.
  • Provides client support and effective communication by contacting clients directly for feedback and to address concerns.
  • Maintains positive working relationship with prescribers as well as internal service department.
  • Back up support to other functions, including reception duties, and inventory count.
  • Tracks, analyses, and prepares reports on demographic and service elements.
  • Monitors/reviews internal procedures and policies, including database and forms design; recommends changes to enhance efficiency and effectiveness of service provision and program operations.
  • Participates and assists as required in training and orientation sessions provided to prescribers.

What You Know

  • High School Diploma.
  • Demonstrated knowledge and experience with computers including customized database.
  • Typing speed of 3045 wpm.
  • Customer Service experience.
  • Scheduling and administrative training or experience an asset.
