Primary Function
Provide administrative and service support to the Technology and Information Services division, including Records & Archives and IT / Telecom


Major Responsibilities

  • Assist with budget administration and facilitate purchasing for both departments
  • Assist with coordination of IT projects and systems, including maintaining service agreements, tracking renewal dates, and liaising with relevant departments to ensure project completion
  • Maintain and update monthly reports and spreadsheets related to PBX long distance, photocopiers and wireless units for all departments.
  • Coordinate training requests and records for staff in both departments
  • Oversee the Exhibition Place Website public complaints and feedback link
  • Oversee the servicing and supply of photocopier and printer services for all offices
  • Maintain division files and other recordkeeping systems
  • Answer the Reception Phone
  • Act as backup for the Mail Clerk in delivering and picking up mail across the campus
  • Perform other duties as assigned.

Required Qualifications

  • Progressive experience in performing administrative duties.
  • Experience utilizing software packages (word processing, spreadsheets, databases and electronic mail).
  • Experience working with basic accounting principles and practices
  • Good interpersonal skills with the ability to communicate effectively both verbally and written.
  • Good organizational skills including the ability to prioritize and meet strict deadlines with attention to detail.
  • Demonstrated ability to handle confidential documents and reports.
  • Proven customer service skills.

Beneficial Qualifications

  • ITIL (Information Technology Infrastructure Library) certification or experience in an IT environment
  • Experience using PairSoft: AP Automation & Document Management Solution or similar software
