Position Overview

Office Administrator will handle phone calls, manage incoming and outgoing
mail, and coordinate package deliveries.


Office Maintenance:

  • Ensure cleanliness and tidiness of the office space, including common
areas, meeting rooms, and kitchen facilities.

  • Regularly monitor and replenish office supplies, including stationery,
pantry items, and cleaning supplies.

  • Coordinate with external vendors for maintenance and repairs as
  • Oversee the setup and organization of office equipment and furniture.
  • Maintain proper water schedules for office plans.

Reception Duties:

  • Serve as the first point of contact for anyone entering the office,
providing a warm and professional welcome.

  • Answer and direct incoming phone calls to the appropriate staff
members or departments.

  • Manage inquiries from visitors, clients, and employees, providing
assistance or redirecting as necessary.

  • Handle incoming and outgoing mail, including sorting, distributing, and
processing outgoing shipments.


Package Handling:

  • Receive and log incoming packages and deliveries.
  • Notify recipients of package arrivals and ensure timely distribution.
  • Coordinate with local package stores for outgoing shipments, ensuring
proper packaging and labeling.

  • Maintain accurate records of all incoming and outgoing packages.

Administrative Support:

  • Assist with administrative tasks such as filing, data entry, and
document preparation.

  • Schedule appointments, meetings, and conference rooms as
  • Provide support to other departments as needed, including basic
clerical duties.


Required Skills:


  • High school diploma or equivalent; additional certification in office
administration or related field is a plus.

  • Proven experience in a similar administrative role, preferably in an
office environment.

  • Excellent communication and interpersonal skills, with a friendly and
professional demeanor.

  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and other basic office software.
  • Ability to multitask and prioritize tasks effectively in a fastpaced
  • Familiarity with office equipment such as printers, scanners, etc.
  • Willingness to take on additional responsibilities and adapt to changing
