Are you an experienced Medical Administrative Assistant looking for an exciting opportunity to join a dynamic and fast-paced team? Look no further than the Sunnybrook Department of Medicine Association We are a large medical practice of over 140 doctors and 95+ medical administrative staff and we are seeking an exceptional individual to join our team.

We also look from within when hiring staff.

As a Medical Administrative Assistant at Sunnybrook, you will play a crucial role in supporting our physicians and clinics.

You will be responsible for managing and maintaining physician schedules, coordinating appointments with other departments and clinics, handling patient bookings and inquiries, and managing all patient testing and in-person clinics.

You will also provide transcription support for letters and medical notes on our Accuro EMR system, manage electronic filing and chart organization, and support physicians in their academic and research roles.


To be successful in this role, you will need to have a minimum of 3 years' experience in a medical administrative assistant role, preferably in a hospital setting.

You will have proven knowledge of medical terminology and the ability to use Accuro EMR.

You will be a team player with excellent written and oral communication skills, the ability to take initiative, and the capacity to prioritize by assessing situations to determine urgency.

You will be able to balance multiple work demands, including time-sensitive requests, while maintaining strict confidentiality.

, your responsibilities will include:


  • Provides daytoday support operations by performing administrative tasks and ensuring highquality customer service to patients
  • Prepares a busy clinic schedule/chart prep on a weekly basis including retrieval of imaging films and other relevant reports as needed
  • Enters/logs incoming new referrals in Neurology new referral intake database
  • Screens /scans /registers new referrals as needed for triage/ scheduling/ redirecting accordingly
  • Schedule, coordinate and confirm appointments and record clinic visits accordingly virtual or in person (office) visits
  • Assists patients with rescheduling appointments and other scheduling issues
  • Answers, screens, and transfers phone calls
  • Opens, scans, sorts and distribute mail
  • Screens all incoming inquiries and new patient referrals as well as financial and medical reports
  • Creates and maintains an efficient filing system for active, pending and processed referrals
  • Accurate handling and preparation of OHIP billing procedures using MD Billing and Inform patients of credit card declines and other billing issues
  • Transcribes, faxes/mails patient reports and consultation visits
  • Addresses correspondence from insurance companies, lawyers offices, Ministry of Health and Ministry of Transportation
  • Accurately updates and maintains patients' health records
  • Transitions paper records to a digital format by performing data entry
  • Sends tissue and fluid samples for laboratory analysis as needed
  • Communicates with labs, healthcare providers, and insurance companies as needed
  • Calculates billing amounts and sends bills to patients and insurance companies as needed
  • Leads, directs patients to exam rooms or other areas as needed
  • Maintains medical/ office inventory by ordering new supplies and equipment as needed
  • Communicates test results to patients when directed by physicians or nursing professionals
  • Proficient in several computer programs including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Electronic Patient Records, Patient Care System, MD Billing and Patient Appointment Scheduler
  • Maintains patient confidentiality at all times
