Public Affairs Operations Specialist


Reporting to the Director Public Affairs, the Public Affairs Operations Specialist is responsible for leading the administrative processes related to the public affairs activities of the department; supporting the implementation of promotional initiatives to advance the strategic objectives of the College's Public Affairs Strategy, the college-wide strategy and supporting public affairs events and initiatives.


They will be responsible for providing support and guidance for college-wide strategic initiatives developed between departments and public affairs to internal and external audiences.


Responsibilities:

The duties of this position include, but are not limited to:

Operations and Liaison Activities

  • Lead in the operations and administration of the Public Affairs department, supporting the Director in workplans, timing and execution of the projects and tactics.
  • Liaise and explore opportunities with regional partners for programs that align college strategic goals.
  • Execute the monthly monitoring of Public Affairs budget expenditures and budget tracking, create POs for department and other finance needs.
  • Support Director Public Affairs in engaging industry and community partners in projects and events.
  • Support Communication Coordinator and Senior Media Advisor on maintenance of public affairs and communication website content and manage content relating to the department for posting to College website.
  • Support other projects or initiatives that come to Public Affairs as required i.e. signage, employer partnerships and industry relations initiatives.

Promotion

  • Drive the creation of reputationbuilding promotional materials to elevate and optimally position the College from a Public Affairs perspective in the postsecondary institutional environment, specific sectors and regional community.
  • Manage the Momentum publication including writer needs, interviewee needs, photography and oversee design, proofing and release of final pieces.
  • Manage the content collection, development and posting of articles to the Momentum website throughout the year pulling content from other college run channels or manage the creation of new content
  • Support and manage the public affairs advertising needs in local and industry publications including scope of article angle, writer needs, design elements and publication posting.
  • Coordinate and monitor needs to bring initiatives to completion.
  • Support departmentled events through promotional materials and logístical support.
  • Work with Director Public Affairs along with academic deans and VPs to create and execute tours and experiences for external guests showcasing Mohawk's strengths.
  • Work with Government Relations Specialist to execute government visits, announcements and opportunities as needed.

Qualifications:


  • A minimum of threeyear postsecondary education in Business Administration, Marketing and Communications, Advertising, Graphic Design or a related field, or equivalent combination of education and experience.
  • Minimum of 45 years of relevant, professional experience working in an organization office setting focused on administration operations, communications, government relations, community engagement and public affairs roles.
  • Experience working in Ontario's postsecondary sector with an emphasis on its public college system an asset.
  • Customer service training/skills and client relationship building skills including ability to elicit cooperation from a wide variety of sources, including upper management, other departments and external clients and stakeholders.
  • Extensive experience with and a sound knowledge of the media, design and printing/publishing processes.
  • Ability to communicate complex information both verbally and in writing.
  • Experience with managing budgets and adhering to policies.
  • Highly organized and able to work independently under mínimal supervision.
  • Selfstarter, comfortable with establishing own priorities.
  • Excellent interpersonal and communication skills with internal and external stakeholders at all levels.
