Job Summary


The Department of Electrical and Computer Engineering (ECE) is one of the largest academic units at the University of British Columbia Vancouver campus, with approximately 1,000 undergraduate and 400 graduate students enroled in its degree programs.

The department is also engaged in a range of research activities, with approximately 60 full-time faculty members actively involved in their respective scholarly communities.


The human resources (HR) coordinator is responsible for managing all HR activities for research staff, students and term-appointed research faculty in a large, research-intensive department.

Organizational Status

The HR coordinator is part of the department's administration services and HR team. The incumbent reports to and receives direction from the manager, business operations.

This role works closely with the administration services manager, who may also provide additional direction and oversight on certain tasks.

The incumbent is responsible for directly supervising the work of one full-time HR assistant, and will also provide high-level expertise to other team members on the use of Workday.


Within the department, the HR coordinator works closely with faculty and staff, particularly other members of the administration services and HR team, to provide managerial support for a broad range of faculty, staff and student employment and appointment matters.

The HR coordinator is responsible for ensuring that the department's HR activities are in line with UBC policies, procedures and best practices; the incumbent is therefore expected to work closely with faculty
- and university-level HR advisors in order to clearly communicate expectations, procedures and objectives to the appropriate members of the department. The incumbent also liaises with other units, such as the Office of Research Services, Financial Services and the Faculty of Graduate and Postdoctoral Studies as needed.

Work Performed

  • Manages all student appointments for a complex department with a very large student body; develops and implements changes to departmental student appointment processes; liaises with senior management and UBC HR advisors to resolve complex issues.
  • Supports the administration services manager with departmental processes for appointing CUPE 2278 teaching assistants (TAs); contributes to departmentlevel and facultylevel discussions and initiatives that relate to TA hiring and management.
  • Manages hiring of research staff, including classifying and reclassifying Management and Professional, CUPE 116 and CUPE 2950 positions; ensures job descriptions are aligned with established benchmarks; liaises with Applied Science and UBC HR to resolve issues of a complex or difficult nature.
  • Manages hiring of termappointed research faculty and trainees, such as research associates, postdoctoral fellows and visiting faculty or scientists.
  • Provides advice on salary administration for staff, including salary increases and progression, in accordance with collective agreements.
  • Provides highlevel advice and recommendations to faculty members and staff managers on terms of employment, employee recruitment, performance management, leave entitlements, position classifications, compensation, annual reviews and other HR issues of a complex or nonroutine nature.
  • Provides highlevel advice and information on UBC, Applied Science and departmental policies, procedures and practices; the interpretation of collective agreements; and other agreements and handbooks governing conditions of employment, including legislation affecting the work place (e.g., BC Employment Standards Act, BC Human Rights Code and BC's Freedom of Information and Protection of Privacy Act).
