Your opportunity:
Under the general supervision of the Clinic Manager or Head Therapist, the incumbent provides a range of services in support and operation of the front desk reception in the David L.
This includes providing front desk reception by greeting customers and directing inquiries/requests; handling incoming and outgoing calls; registering patients, ensuring all patient charts are completed; maintaining all appointments for sport physicians, orthopaedic surgeons, consultants, and therapists; invoicing for all patient services including OHIP, provincial or private, and submission and reconciliation of these records; creating and maintain a tracking system for outstanding invoices; managing the sale of products, including assisting patients with fitting of bracing products, producing invoices, accepting payments for services rendered, creating deposit, and reconciling accounts; uploading health care professional's reports and ensuring all relevant documents are available; acting as liaison between hospital administrators, orthopaedic surgeons, laboratories, referring clinics, physicians, drug representatives, and sport organizations; providing scanning, photocopying and faxing services; training and supervising part-time receptionists work study students and assisting with the registration of student therapists; and assisting with the collection of statistical data.
Your responsibilities will include:
- Scheduling appropriately health care professional appointments and resolving any scheduling conflicts, as well as monitoring status of patients and queue system
- Registering, updating and maintaining patient records in the EMR (electronic medical software) system
- Providing detailed information on clinic procedures and protocols
- Billing, processing invoices, balancing financial transactions against sales on a daily basis as well as informing patients of outstanding balances and missed payments
- Liaising with external health service providers to ensure access to services
- Training and supervising parttime clinic aides, receptionists, and work study students
- Updating statistical data and reports
- Understanding bracing products and sizing requirements
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three years in a clinic setting; sport medicine clinic preferred
- Experience handling financial transactions (debit, credit, cheques), handling invoice payments and collections
- Experience working with a multipleline telephone system.
- Experience using electronic medical record software (OSCAR preferred) and patient information databases (FUSION preferred)
- Strong interpersonal and communication skills, both oral and written.
- Excellent organizational skills; demonstrated attention to detail, problem solving ability and judgement.
- Working knowledge of orthopaedic medical terminology and an understanding of bracing supplies is an asset.
