Your opportunity:


The incumbent provides registrarial services to full and part-time continuing students, new students, and graduates, with respect to all
OISE programs.

The incumbent works in a very independent manner, carrying out duties requiring sound judgment, initiative and sensitivity in the complex processes of registrarial functions, receiving specific instructions only on unusual problems or on matters which depart radically from established practices.

The incumbent normally establishes work procedures and priorities in conformity with School of Graduate Studies and
OISE policies and completes duties on own initiative.


The incumbent advises students and other inquirers on matters relating to course selection and registration policies and procedures, appeals and other matters.

Likewise, they liaise with students, staff at the School of Graduate Studies,
OISE Departmental administrative staff and Graduate Liaison Officers and the Ontario College of Teachers on matters relating to course selection and registration and for maintaining confidential records and student files.

The incumbent is responsible for the processing of student course selection and registration activity with regard to the receipt, processing, compilation and routing of supporting documentation.

In total, the incumbent is responsible for students' registrarial activities and records from the point of initial acceptance into programsat
OISE right through to graduation, including processes related to balance of degree fees for graduates.


Your responsibilities will include:


  • Liaising with contacts to ensure consistent administration procedures are followed
  • Responding to routine admissions and awards enquiries and referring complex enquiries as appropriate
  • Verifying the eligibility of applicants
  • Verifying that information is kept according to file retention procedures
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Providing detailed information on processes, policies, and procedures
  • Providing detailed information regarding admission requirements to prospectivestudents and applicants

Essential Qualifications:


  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two years recent and relevant experience in the registration, records and/or admissions area within a high volume, client service post secondary environment.
  • Minimum two years advising students concerning admissions, registration, their student record and/or convocation.
  • Excellent organizational and time management skills.
  • Extensive experience with ROSI.
  • Computer proficiency, excellent keyboarding skills and advanced knowledge of MS Office suite.
  • Strong interpersonal skills and ability to work in collegial manner with applicants, colleagues, staff and faculty.
  • Demonstrated problem solving skills.
  • Understanding of School of Graduate Studies policies and procedures.
  • Strong oral and written communication skills.
  • Tact and ability to manage heavy workload and prioritize work given competing deadlines.

Assets (Nonessential):


  • Experience in information processing and database management.
  • Broad knowledge of
    OISE programs, procedures and regulations.
  • Ability to work with mínimal direction.
