MAINTENANCE COORDINATOR

Position Purpose and Summary

The Maintenance Coordinator will be tasked with organizing the daily aspects of maintenance repairs by scheduling work orders, organizing contractor visits and accounts payable.

They will work in tandem with the Maintenance Manager to ensure all work orders are responded to and completed in a timely manner.

This person will be the liaison between maintenance and the campus departments whether it be students, staff, faculty and vendors or the community

Key Areas of Accountability

Maintenance

  • Schedule, prioritize, track work order, and liaise between maintenance
technicians, Stake holders, and vendors to ensure all work is completed in a timely manner

  • Maintain documents and process for TWU facilities, contractors, and vendors.
  • Coordinate daily workflow tasks and contractors for the maintenance
department

  • Action all corrective work orders and make sure maintenance queues are up
to date.

  • Ensure all necessary documentation for the proper maintenance of campus
equipment and buildings is catalogued.

  • Manage all lock and key inventory, work orders and liaise with vendors to
accomplish in a timely manner

  • Coordinate accounts payable and invoice processing and ensure vendors are
paid on time.

  • Responsible to assist Maintenance Manager to maintain a healthy team
environment particularly within Maintenance Services and other departments

Departmental Support

  • Ensures office efficiency (maintenance of office equipment, routing of visitor, staff & faculty, student inquiries, distribution of mail, general reception).
  • Prepare presentations and reports in Team Dynamics or CMMS, PowerPoint, Excel, and Word.
  • Support and cooperate with other Campus Services Departments including Security, Grounds, Custodial, and Capital Projects as required.
  • Provide handson support as needed by the department (e.g., moving of physical files, furniture, etc.)
  • Any other minor tasks and work that is assigned to you by your manager.

  • Logistics good analytical and excellent problemsolving skills.
  • Exemplary skills in planning, organizing, prioritizing, scheduling, and implementation.
  • Multitasker who is used to a fastpaced environment.
  • Familiar with plans and layouts basic understanding of construction language.
  • Demonstrated skill in conflict resolution and the relaying of sensitive and timely information.
  • Able to lift 30 lbs. to provide hands on support as needed by the department.
  • Must have Valid driver's license

Standards & Requirements


Education*:
Business or related degree and/or related work experience considered an asset but not a must. Formal training in facility maintenance or procurement an asset.


Experience*: 3-4 years in a progressive administrative or analytical support role, preferably within the facilities management, construction, or manufacturing industry.
