Duties and responsibilities:


  • Manage requisitions for ship and shore in the company system, clarifying any additional information as required, in a timely and reliable manner.
  • Analyze the purchasing history and support the Technical team in the development of forecasting models as required;
  • Manage and optimize inventory levels using processes and tools such as Power BI;
  • Initiate RFQ and RFP, analyze quotations, determine the best suppliers for the need,negotiate the best commercial agreements, and ensure timely delivery/scheduling for all material and service requests from the vessels.
  • Issue Purchase Orders ("PO") based on results of negotiation or global CSL agreements where applicable.
  • Followup on outstanding requisitions, inquiries and PO's and process invoices
  • Manage the progress and delivery of orders and contractors on board; solve any discrepancies as advised by vessel or superintendent with suppliers.
  • Support key vendor and contractor relationship management;
  • Coordinates between internal stakeholder groups on supply chain alignment of order deliveries to vessels based on requirements and lead times.
  • Create and monitor monthly consumable orders for the supply of daily usage items, noncritical or low value items.
  • Assists the accounting department in reviewing and resolving monthly accruals, invoice discrepancies, weekly payment issues, with support from the Fleet Operations Coordinator.
  • Participate in special projects concerning Fleetwide, material & service purchases, this shall include all details through the supply chain process.
  • Provide technical assistance to the Vessel Manager in planning, controlling, and execution of all activities connected with surveys, maintenance, repair and certificates requirements, drydocking, conversions, or modification of assigned vessels
  • To provide operational support to vessels by arranging required services and deliveries, i.e. obtain quotations and scheduling contractors' attendance
  • To collect, analyze, and maintain technical records on vessel performance indicators such as speed, downtime, fuel, and lube oil consumption, alerting Vessel Manager if any item falls outside of normal parameters
  • To be fully aware of the technical operations of the vessels and act as backup for the Vessel Manager, under guidance of the Fleet Manager;
  • To assist in the preparation and updating of technical weekly and quarterly reports, winter works,drydock and budget reports;
  • To followup on and ensure that all reported deficiencies, damages, and nonconformity issues are cleared with minimum delay
  • Accomplishes other duties as assigned.

Qualification and skills:


  • 23 years experience in procurement or supply chain management
  • Marine experience considered an asset
  • Bachelor's degree in commerce, Operations Management, Engineering or any other pertinent academic formation.
  • Naval Architecture studies or mechanical/electrical technical knowledge would also be an asset.
  • Practical knowledge of ERP software (Oracle, SAP, etc.), an asset;
  • Knowledge of data mining systems such as Cognos/Tableau, SAS, Access, Power BI, etc. is an asset
  • You are a team player with strong communication, intercultural skills and assertiveness;
  • Ability to analyze and determine purchasing trends and develop forecasts;
  • Ability to develop ABC analysis to optimize inventory level and stock rotation;
  • Ability to develop commodity strategies to optimize supplier base;
  • Ability to negotiate commercial agreement with suppliers as well as commodity / service costs and/or terms and conditions;
  • Ability to recognize the best supply delivery location in a ship's trade;
  • Ability to administer purchasing and budget requirements;
  • Ability to use company software systems;
  • Ethical and accountable;
  • The ability to work autonomously and/or in a group setting as required, to create synergy;
