YOUR RESPONSIBILITIES
As a Clinic Coordinator, you are a key member of our clinic internship department, executing day-to-day clinic operations and supporting the clinic team in many different areas through the following responsibilities:

DOCUMENTATION:

Maintain and update student clinical records in an online database and track instructor documentation.

Prepare detailed, complex excel reports such as completed clinic hour, absence, clinic dashboard, patient management reports, etc., update clinic forms.

SCHEDULING:

Create detailed, complex student schedules. Manage both student intern and clinic instructor absences, shift changes and coverage. Schedule treatment visits, clinical student evaluations, etc.

DATABASE MANAGEMENT:


Onboard, coordinate and set-up interns in Jane, an online practice management system, manage all student clinic documentation submissions and student bios.

Audit student files on a regular basis to maintain accuracy.

CLINIC OPERATIONS:


Manage the day to day operations of the clinic including inventory, equipment and laundry, ensure that clinic operations are efficient and organized.

CLINIC ATTIRE AND PHOTOS:

manage clinic shirt and college swag orders, organize photo day for new interns.

COORDINATION:

Co-ordinate outreaches, including contracts, staffing and students, and manage rollover between semesters


8.

PATIENT CARE MANAGEMENT:

Manage google and Jane reviews, patient complaints and concerns.


9.


ACCOUNT RECEIVABLE:

oversee patient billing, late cancellation/no show fee adjudication.


HOW YOU STAND OUT

  • You have advanced competency working with Jane and Excel.
  • You have previous experience with complex scheduling, file management and data entry.
  • You have a meticulous eye for detail and can think for yourself.
  • You have previous experience working in professional office administration.
  • You have excellent computer skills with extensive knowledge of Microsoft Word, Excel and other administrative programs.
  • You are that go to person in the office that others rely on.
  • You are organized, efficient and proactive.
  • You are customer centric and consistently provide a high level of service.
  • You are a selfstarter and natural problem solver who requires little supervision.
  • You exude professionalism and are an exceptional English communicator, both verbal and written.
  • You excel in a fastpaced environment and maintain composure under pressure.
  • You follow process diligently, identifying opportunities for improvement.
  • You maintain discretion and confidentiality in all situations.
