  • Position Overview:
  • This position will be responsible for providing courier and mail service for City departments, including sorting and delivery of incoming mail and courier packages from Canada Post, couriers and City departments. It will also include processing outgoing mail for City divisions, including collecting, sorting, weighing and stamping mail and volume mailings.
  • Responsibilities:
  • Collects, sorts and delivers all incoming mail from Canada Post and other contracted mail delivery services to all divisions located within City Hall
  • Collects and sorts outgoing mail from City Departments, folds and inserts into envelopes where required using mail equipment, and applies postage, if required, using mail equipment. Operates the mail inserter machine according to job specifications. Operates postage machine and posts all outgoing mail according to Canada Post guidelines; ensures postage machine has sufficient postage and advises Manager of postage account balance.
  • Prepares and organizes outgoing & incoming mail for interoffice courier to ensure correct delivery and arranges special delivery requests.
  • Corresponds with City Staff to solve any mail delivery issues and provides guidance and support regarding mailing options and inquires.
  • Prepares Canada Post Electronic Statement of Mailing to verify large volume mailing orders.
  • Monitors mail room supplies and places orders when required.
  • Receives parcels from couriers at the loading dock. Ensures that stray or unclearly marked parcels from couriers are further investigated and delivered to the appropriate recipient.
  • Collects parcels from couriers (e.g., UPS, FedEx) left at the Customer Service Centre and delivers them to the recipient.
  • Corresponds with City staff regarding distribution of materials to various City locations.
  • Generates monthly reports for internal billing purposes.
  • Places service calls with equipment vendors, as required.
  • On an asneeded basis, display and remove posters in elevator bulletin boards as required.
  • Once a month, delivers shredding bins to the loading dock and accompanies shredding vendor throughout City Hall for pickup.
  • Performs other related duties as assigned.
  • Requirements:
  • Grade 12 diploma
  • 612 months of related job experience or postal office experience
  • Must be able to lift up to 50lbs (frequent walking and standing)
  • Must be able to work independently with mínimal supervision in order to complete tasks within specified timeframes and demonstrate a high degree of accuracy.
  • Must be reliable with strong communication and interpersonal skills
  • Ability to support and project values compatible with the organization and to participate as an effective team member.
  • Must have strong customer service skills.
  • Must have strong attention to detail and excellent organizational and time management skills to ensure that high priority items are processed within timeframes.
  • Ability to manage multiple projects with competing time frame.
  • Ability to navigate and use Canada Post online mail/postage system to fund the postage equipment.
  • Reading and sorting skills to classify mail and parcels.
  • Ability to use a computer and software programs such as Microsoft Office, Excel, Word and Outlook.
  • Ability to operate related machinery (e.g. inserter and postage machine).
  • Must be reliable with a good attitude and employment record.
