JOB TITLE RECEPTIONIST, EMPLOYEE ASSISTANCE CENTRE

REPORTS TO EA, Experience Coordinator

***: The Claims Support Representative opens and sorts Claims department mail, verifies claim forms for completeness, assists with other department correspondence, and the Claims processing team with administrative duties. The incumbent must work well independently as well as in a team setting.

DUTIES AND RESPONSIBILITIES

  • Respects and protects client rights and confidentiality.
  • Responds to inquiries of a general nature within given authority.
  • Maintains knowledge of clinical policies and practices in order to assist Intake staff on an incidental basis.
  • Greets, identifies and directs clients to designated counselling rooms.
  • Monitors client appointments.
  • Adjudicates and processes Employee Assistance Plan claims in accordance with established policies, procedures, and controls.
  • Files/audits scanned information such as intake and category forms, clinical summaries, reports, etc., in client case records in accordance with established procedures.
  • Performs routine typing and clerical work, as assigned.
  • Inspects and cleans counselling rooms after each use as well as common areas (kitchen, boardroom, etc). Ensures counselling rooms have required inventory of EAP forms, etc.
  • Assembles clinical form packages for counsellor use.
  • Assists counsellors with routine inquiries, as appropriate and as required.
  • As approved by Manager, E.A. Services, undertakes such professional development as may be required to remain effective in this position.
  • Performs other related duties, as assigned.

QUALIFICATIONS AND SKILLS

  • Dedicated to the principles of exceptional service; committed to responding to, anticipating and addressing customer needs for both internal and external customers.
  • Minimum Grade 12 education. Community College diploma in office administration preferred. Equivalent combination of education and related experience may be considered.
  • Previous clerical/administration experience.
  • Personable, selfdirected and dependable.
  • Exercises sound judgment, tact and discretion.
  • Excellent communication and interpersonal skills. Must be able to work cooperatively in a multidisciplinary, teambased environment.
  • Excellent organizational skills with the ability to manage multiple tasks with frequent interruptions.
  • Reliable and punctual.
  • Good working knowledge of MS Word and Excel.
  • Ability to work weekends.
  • Knowledge of Provincial
