Coding and reviewing vendor's invoices for five office buildings plus retail units in the PATH
Processing high volume of invoices for operating expenses and capital expenses, including holdbacks
Collecting supporting documents for processing invoices
Wire transfer processing in coordination with Treasury and accounts payable team
Advising team for monthly and yearly cut-off, make sure invoices can be posted before cut-off
Assisting property administrator by releasing tenant security deposit refund, tenant year-end adjustment
Providing support/backup for Accounts Payable projects
Generating reports related to the Accounts Payable team workload data on a daily basis as per requested
Implementing company AP policy, especially on invoice processing and vendor setup procedure
Participating in system testing and process improvements and providing technical solutions to automate manual processes and achieve highest efficiencies
Responding in a timely basis and effectively communicating while guiding personnel with respect to accounts payable policies and procedures.
Assisting accountant and provide answers to auditor's questions about last year's transactions
Collaborating within the Operations department leadership team to support various site initiatives and completing additional administrative duties as assigned
Coordinating monthly departmental accruals, inputting invoices into BASWARE and assisting Operations Manager with preparation of annual Operating/Capital Budgets and Reforecast reporting.
Assisting with preparation of Sustainability, Waste/Recycling, Utilities, Life/Safety, and other operations reports to be sent to head office, external stakeholders, Co-Owners, and tenants.
Support to management and head office accounting and legal departments: providing invoices for auditor, tracking of area certificate and fully executed lease and storage agreement, tenant and lease information, and building information.
To succeed in this role, you:
Have a minimum of 2-4 years of accounts payable/finance experience
Completed college diploma in accounting, a university degree is an asset
Are well versed in MS Office, and advanced Excel
Have experience working with JDE
Experience with Basware is an asset
Have excellent time management skills and can easily prioritize tasks while managing other ongoing activities
Have Ability to multi-task in a fast-paced environment
