About the Role:


This position reports to the Manager, Facilities and its main purpose is to support and assist the IT department with managing multi functions such as office facility minor maintenance activities, security infrastructure and reporting.


KEY ACCOUNTABILITIES:


  • Maintain confidentiality in all aspects of client and staff information
  • Respond to office (facility) physical and logístical matters as needed, such as, equipment and office furniture, facilities break (heating, AC, plumbing, etc)
  • Assist the Manager with keeping up to date records for preventative maintenance program using an Excel spreadsheet.
  • Keep records using Excel spreadsheet of all ongoing facilities project and update as required
  • Provide escorts for reoccurring services and maintenance visits
  • Able to provide reports from the access control system and video recording system
  • Work with the Facilities Manager on the access control (badges) and terminations data entry
  • Assist IT help desk/desktop support with equipment inventory control and desktop setup
  • Conduct health and safety walkthrough of various offices

  • An analytical thinker, ability to synthesize complex or diverse information, collect and research data, use intuition and experience to complement data, design work flows and procedures
  • Ability to communicate effectively with all levels of staff: verbal, written, and listening
  • Proven ability to work within stringent timeframes
  • Good organizational skills and detailoriented
  • Must be punctual, reliable, and self reliant
  • Able to lift and palletize heavy equipment (PCs, monitors, printers)
  • Own a reliable vehicle with the ability to visit any of our domestic sites, as required (compensation provided)

EXPERIENCE & QUALIFICATIONS:


  • Work experience in Facilities/Maintenance Coordinator or similar in a junior role
  • Basic experience in office/facility logistics
  • Experience with computers, internet, proficiency in Excel and Word is required
  • Some exposure with security access system
  • Previous experience working in a team environment and independently
  • Problem solving skills, organizational ability and technical skills
  • Ability to be flexible, selfmotivated and accountable
  • Knowledge of AutoCAD an asset
  • Knowledge of Microsoft Suite (specifically Outlook)
  • Basic understanding of office floor plans and blue prints
  • Able to obtain Government of Canada Reliability Status
