About the Role:

The Service Administrator plays an integral role in ensuring smooth operations within the Service department.

This position involves managing and coordinating administrative tasks to support the service team, ensuring that customer inquiries, scheduling, and service documentation are handled effectively and meet compliance within manufacturer and company policies and procedures.


Schedule:
Full-Time;
Monday to Friday


Remuneration:
$45,000 - $52,000 / year (depending on experience)

What your day will look like:

  • Schedule and coordinate service appointments between customers and service technicians to ensure timely repair and maintenance of equipment and vehicles
  • Process work orders, including the creation, updating, and closing of orders to track and document service activities, time punches and details accurately and in a timely manner
  • Manage and maintain service records and documentation, ensuring all service activities are logged and customer information is up to date.
  • Handle customer inquiries and complaints, providing highquality customer service to resolve issues and maintain customer satisfaction.
  • Generate and issue invoices for services rendered, ensuring accurate billing and timely payment collection.
  • Prioritize and dispatch work for the shop
  • Create internal repair orders, to direct service repair on internal or collision inventory
  • Booking all warranty repair lines while following the warranty guidelines and procedures outlined by the manufacturer
  • Completing all warranty submissions in an effective manner to the manufacturer, maintaining a 060 day schedule
  • Follow up on warranty claims to ensure prompt payment
  • Ensure all warranty related repair correction details are outlined in detail and are available and legible
  • Use internal repair orders and predelivery inspections/checks to assist in attaining dealership goals and meet reconditioning timelines
  • Ascertains automotive problems and services by listening to customer's description of symptoms; clarifying description of problems; checking vehicle maintenance records and examining service schedules, effectively communicate to service advisors and/or technicians.
  • Effectively work with fellow team members to coordinate correct customer information as to accurately address any customer concerns.
  • Generates service appointments by following the TAG's retention and business development program.
  • Prepares a detailed and accurate estimate of all service scheduled with client and ensure estimates are communicated to customers.
  • Conducts after service follow up calls.
  • Communicates customer feedback and concerns to all appropriate parties and supervisors and ensure all notes are documented in customer file.
  • Remains abreast on all manufacturer maintenance policies, procedures, schedules, updates, outstanding recalls and campaigns
  • Remains abreast on industry and market trends

Who you are:


  • Minimum 1 years of recent experience as a Junior Service Advisor
  • OEM Brand Dealer experience is preferred
  • Superior customer service skills with the desire to exceed expectations
  • Outstanding attention to detail and organizational skills
  • Valid Class 5 driver's license with a clean driver's abstract
  • Strong communication skills
