SCOPE

Reporting to the Manager, Student Financial Assistant, the incumbent administers departmental functions related to undergraduate institutional merit-based aid and institutional need-based aid programs.

The incumbent administers the undergraduate Entrance Scholarship program, directly supporting the faculties in the selection of award recipients.

The incumbent also supports the University's fundraising efforts and acts as a key resource on best practices in undergraduate awards for Aid and Rewards personnel.


PRIMARY RESPONSIBILITIES

  • Administer the undergraduate awards portfolio in line with the University's enrolment objectives. Ensure the timely communication of awards programs and/or individual award information. Ensure awards timelines are met.
  • Assess compliance with the University's policy and act as a liaison with faculties.
  • In line with the University's enrolment cycle and objectives, provide advice and guidance to staff and faculty in the awards selection process. Provide advice, guidance and information regarding awards operations to University fundraising staff.
  • Analyze, reconcile and maintain award accounts; inform director of problems / errors. Ensure effective organization of local award files and maintain databases.
  • Liaise with internal contacts as well as external award agencies.
  • Plan and administer workshops for faculty and staff.
  • Ensure accuracy of all web content related to awards.
  • Assist the Director in the assignment of work to support staff and ensure timely completion of tasks.
  • Compile and interpret statistical information to prepare reports and recommendations.
  • Perform other duties in support of the operation of the office.

QUALIFICATIONS

  • Bachelor's degree and two to four years of related work experience.
  • Prior experience in finance/research award administration.
  • Good knowledge (Level 4) of spoken and written English and French in order to communicate effectively with faculty, staff, and students and to draft correspondence, documentation, and reports.
  • Good knowledge (intermediate level) of Word and Excel; basic knowledge of Access.
  • Excellent interpersonal and communication skills with the ability to deal sensitively with individuals.
  • Experience in dealing compassionately with individuals in sometimes difficult personal situations.
  • Excellent organizational skills in order to organize work and set priorities under pressure of time constraints.
  • Ability to multitask and work under pressure with mínimal supervision.
  • Aptitude to work in a serviceoriented environment as both a member of a team and independently.
  • Familiarity with ongoing funding mechanisms and programs.
  • Knowledge of Canadian and Quebec undergraduate funding programs and regulations is an asset.
  • Experience with funding programs in an academic setting is an asset.
  • Focus on customer service to both staff and students is an asset.
  • Knowledge of Peoplesoft and University financial management systems as well as academic regulations is an asset.
  • Knowledge of accounting policy and procedures is an asset.
  • General knowledge of governmental financial aid programs is an asset.
  • Experience or training in deescalation of difficult situations is an asset.


Concordia University is an English-language institution of higher learning at which the primary language of instruction and research is English.

Since this position supports academic and administrative functions of the university, proficiency in English and French, as indicated, is required.
