Job description:


  • This is an excellent opportunity to join a rapidly growing hightech purposedriven company WELL Health is looking to hire an Executive Assistant to the CEO. This is a fulltime position based in the company's headquarters in downtown Vancouver (the role is Hybrid a combination of working remotely and in the office).

Requirements:

The EA is a key and trusted team member that has access to confidential and extremely sensitive information.

The EA will act in confidence on behalf of the CEO to handle matters of an organizationally or commercially confidential nature.

The EA must have the ability to exercise good judgment in recognizing the scope of authority and protecting confidential information.


Key responsibilities:


  • Plan CEO's travel schedule and arrangements flight, hotel, car reservations, and itineraries.
  • Manage and maintain the CEO's calendar schedules and all coordination pertaining to booking appointments, scheduling, and preparing meetings, information gathering, etc., while being available to assist with any needs or lastminute changes.
  • Plan all meetings that involve the CEO; executive group meetings such as companywide general meetings, board of director meetings, and 1:1 meetings between the CEO and executives.
  • Take notes and deliverable items from Leadership meetings and distribute meeting minutes after the meetings as applicable.
  • Follow up with executives and managers/team members for any deliverable items or project status.
  • Manage multiple special projects including corporatewide initiatives, largescale meetings, event planning for conferences/exhibitions, and meetings with business partners.
  • Prepare reports, memorandums, letters, and any corporate documents and assist the CEO with presentations when required.
  • Represent the office of the CEO on communication with internal and external parties in a cordial and professional manner.
  • Check and distribute incoming correspondence and communication.
  • Project management and assist the CEO on any ad hoc deliverables as required.

Specific Requirements:


  • Minimum 3+ years' experience in a similar role supporting senior executives.
  • Proactive thinking, excellent planning, and organizational skills.
  • Strong time management skills, and ability to prioritize deliverables and schedule accordingly.
  • Flexible with work hours, and changes of priorities and schedules.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Strong attention to detail.
  • Computer literate with excellent MS Office skills.
  • Experience working in high tech industries is an asset, but not mandatory.
  • Previous EA experience is a key asset for this position.
