- Reception and Front Office Management:
- Answer incoming calls promptly and professionally.
- Ensure phone coverage during business hours.
- Manage phone systems efficiently and train new staff.
- Check voicemail and email regularly, directing messages appropriately.
- Maintain a tidy and organized front office area.
- Welcome visitors, oversee sign-in procedures, and ensure compliance with safety protocols.
- Handle incoming and outgoing mail and couriers.
- Open and close the office daily to maintain security.
- Monitor and restock office, stationery, and kitchen supplies.
- Coordinate with service providers for office maintenance.
- Prepare meeting rooms and equipment for various gatherings.
- Distribute accounting correspondence.
- Manage corporate gas cards and reconcile monthly statements.
- Organize and maintain accounting records.
- Support the Accounts Receivable department with deposits.
- Organize employee recognition programs.
- Manage the uniform program efficiently.
- Assist with various HR tasks and administrative duties.
- Provide support to the HR department as needed.
- Offer administrative support to management personnel.
- Record minutes for committees and prepare reports.
- Participate in organizing social events.
- Handle errands and additional administrative tasks as required.
- Minimum of two years of office administration experience.
- High school diploma required, additional education an asset.
- Proficiency in telephone systems and Microsoft Office suite.
- Experience in Accounting, Human Resources, and general administration beneficial.
- Strong interpersonal and communication skills.
- Excellent organizational and multitasking abilities.
- Initiative, self-direction, and work ethic.
- Ability to maintain confidentiality.
