Position Summary:


The Project Manager is a key role on the project management team for key strategic capital projects responsible for project coordination activities and management of small projects within the Flu and Pandemic Readiness Program.

The expectation of this role is to maximize project execution efficiency and proactively identify/circumvent related issues.

In addition, the Project Manager will also support communication and change management activity in support of the Flu and Pandemic Readiness Program.

The Project Manager will report directly to the Director Project Management and dotted line to the ETS Project Director.


Key Responsibilities:


  • Project manage scopes of work within the overall program with specific focus on the ETS workstream, in alignment with the VIA Project Management handbook.
  • Update and maintain key project documents (Resource Plan, Risk assessment, Project Execution Plan, Project Control Plan, Project Documentation Plan, Project Charter, Project Governance, etc.) on regular basis to reflect past events, current tasks and future strategies.
  • Effectively communicate the key project documents to all relevant stakeholders, including all existing and new project team members
  • Facilitate quarterly updates of the Project Risk Register and track the associated mitigation plans.
  • Support the development and upkeep of project metrics, tracking methods (+QDCI, Site/Global PMO, etc.), and reporting frequency
  • Support project change management and communication practices/initiatives.
  • Lead team meetings and facilitate crossfunctional workshops required for effective project coordination.
  • Develop presentations and manage meeting minutes for key project meetings (Steering Committees, project control meetings, schedule performance meetings, risk management, resource management, etc.).
  • Manage, track and control paper & electronic project documentation including Sharepoint administration.
  • Work in close cooperation with the project management workstream controllers as well as the project workstream leaders
  • Support with team development, team building events, presentations and coordinate with different leads.

  • Program coordination on project and interfaces with project leadership team as well as site/global leadership.
  • Delivery of tasks/assignments meeting the expected quality and in a timely manner.
  • Manage and support linked projects within the overall flu and pandemic program.
  • Ability to drive agendas and strategies in support of end to end project management for the program.
  • Ensure project documentation, risk register, project metrics/reporting are in accordance to the strategy and company policies.

Key Requirements:


  • University degree such as Bachelor of Science, Bachelor of Engineering or Business studies
  • PMP certification desirable
  • 5 years experience in managing projects in challenging environment preferably in pharmaceutical industry and/or manufacturing environment.
  • Experience in communication and change management in support of large change initiatives
  • Experience in Lean project management (visual project management)
  • Experience with Planisware Portfolio and Project management solutions is highly desirable
  • Selfmotivated with lookahead mindset
