JOB POSITION:
Full-time, Permanent


SALARY:
$50,000.00-$55,000.00 per year

Hours

  • Monday to Thursday 8:30 AM to 4:00 PM. Friday 8:30 AM to 2:30 PM, unless required to stay.
  • Extended hours

ROLE SUMMARY:


The Executive Assistant is responsible for a wide variety of administrative duties in support of the Chief Executive Officer (CEO), Chief Operations Officer (COO) and Chief Finance Officer (CFO).

Duties include but are not limited to reception, arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence.

The Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management, and the public. Other duties shall be assigned as necessary.


ADMINISTRATIVE SUPPORT

  • Provide direct administrative and office management support to all members of the executive team, as directed.
  • Maintain work schedules and calendars of executive management, particularly the COO and CFO
  • Prepare travel schedules, book travel arrangements, and make reservations for employees.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Receive and screen all inbound telephone calls.
  • Troubleshoot and/or escalate office administration issues.
  • Receive incoming mail.
  • Review, evaluate, and distribute priority correspondence for executive team.
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other people.
  • Support agency event planning in conjunction with executive and senior management

QUALIFICATIONS

The Executive Assistant is required to have the following mandatory qualifications:

  • Post Secondary Diploma in Business Administration, or relevant discipline, required.
  • Secondary School Diploma required.
  • Knowledge of finance practices is an asset.
  • 57 years' experience in an Administrative role preferred.
  • Strong knowledge of office procedures and practices.
  • Keen attention to details.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Resourceful and flexible.
  • Proven organizational and time management skills.

FISCAL RESPONSIBILITIES

  • Complete all necessary reports and records related to the department as required.
  • Organize invoices and accounts payable.
  • Reconcile Credit Card Receipts regularly.
  • Complete annual Income Tax returns for individuals in care
  • Complete expense reports, pay invoices, and other related duties.

QUALITY ASSURANCE AND OPERATIONS SUPPORT

  • Compile and audit all month end paperwork for Support Homes
  • Report in deficiencies and procedural inaccuracies in month end paperwork
  • Liase with communitybased vendors such as fire and health
  • Maintain Support Home paperwork files.
