Payroll Administrator


Reporting to the Payroll Manager, the US Payroll Administrator based in Canada is responsible for ensuring accurate and timely processing of payroll for our US employees.

Their primary focus will be to handle all aspects of payroll administration, including payroll processing, tax compliance, benefits administration, and maintaining payroll records.

You will collaborate closely with the HR department, finance team, and external vendors to ensure seamless payroll operations.


Essential Functions:


  • Process endtoend US payroll for employees, ensuring accuracy and compliance with federal, state, and local regulations, as well as company policies.
  • Calculate and process regular and adhoc payroll adjustments, such as new hires, terminations, salary changes, bonuses, commissions, and other payrollrelated changes.
  • Maintain accurate employee records, including time and attendance data and employee deductions.
  • Collaborate with HR to ensure accurate employee data, such as personal information, tax forms, and direct deposit details, in eCMS and ADP systems.
  • Stay updated with changes in federal, state, and local payroll regulations and ensure compliance with all relevant laws.
  • Prepare and distribute payroll reports, including payroll summaries, tax reports, and other payrollrelated documents as required.
  • Assist employees with payroll inquiries and provide exceptional customer service by promptly resolving any issues or discrepancies.
  • Collaborate with the finance team to reconcile payroll accounts and ensure accurate financial reporting, as well as manage offcycle payment requests and approvals.
  • Participate in payrollrelated audits, providing documentation and information as necessary.

Qualifications:


  • US or Canadian payroll designation
  • Minimum of 3 years of experience in US payroll administration required.
  • Strong knowledge of US payroll laws, regulations, and tax requirements.
  • Experience using payroll software, preferably with eCMS and ADP or similar systems.
  • Excellent understanding of payroll processes, including payroll calculations, tax withholdings, and benefit deductions.
  • Familiarity with Canadian payroll regulations is a plus.
  • Detailoriented with exceptional accuracy in data entry and calculations.
  • Strong analytical and problemsolving skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with professionalism and discretion.
