The Opportunity
Our British Columbia and Yukon headquarters is seeking an Administrative Assistant for our Vancouver branch. You are an extraordinary multi-tasker who will provide administrative support to customers, staff, and volunteers.

You will handle the flow of people through the business and ensure that all Administrative Assistant duties and responsibilities are completed accurately and delivered with high quality, in a timely and professional manner.

This includes ensuring a quality image conveyed by St. John Ambulance BC & Yukon, at all times, and consistently and effectively communicating the St. John Ambulance vision.


Responsibilities and Duties

  • Oversee the branch reception and provide course information to customers.
  • Register students into appropriate courses, process payments, and issue receipts.
  • Prepare and submit all branch orders (training, community services, retail, first aid kits).
  • Process all customer orders and shipments.
  • Follow up on accounts receivables.
  • Ensure all classrooms are well stocked with first aid kits, gloves, sanitizers, and other equipment.
  • Clean blankets, triangulars, tshirts, and Annie dolls when necessary.
  • Maintain inventory of supplies and orders when necessary.
  • Prepare equipment and files for away classes.
  • Prepare class lists and necessary paperwork for all upcoming classes.
  • Monitor upcoming classes daily to ensure adequate registration.
  • Liaise with staff on the cancellation of classes as required.
  • Moving tables and chairs when necessary.
  • Additional duties assigned by the Branch Manager.

Knowledge and Skills

  • High school diploma;
  • College courses in secretarial skills/office administration preferred;
  • 13 years of experience in office administration;
  • Knowledge of financial accounting practices and procedures;
  • Proficient in computer programs, in particular, MS Office, internet, database and keyboard skills;
  • Detailoriented and strong organizational skills;
  • Excellent verbal and written communication skills;
  • Excellent customer service/interpersonal skills;
  • Experience working in a fastpaced environment;
  • Experience in CRM is an asset;
  • Experience in sales or retail is an asset; and
  • Basic understanding of bookkeeping procedures is an asset.
