Role Responsibilities:


The Strategy and Operations branch is looking for Administrative Support to support the administrative needs of the Executive Director, Strategy and Operations.

The position reports to the Executive Director.

The responsibilities for this role include:

  • Providing daily support services to branch staff, tracking branch. expenses, ensuring compliance with records management practices, and supporting contract management.
  • Ensuring the branch's compliance with department and government requirements related to financial administration, contract management, and human resource processes.
  • Managing the Executive Director's schedule, coordinating, and reviewing action requests and other briefing materials.
  • Maintaining an issues, actions and risks log with branch Directors.
  • Managing the crossgovernment Action Request Tracking System (ARTS) to receive, address and return briefings, documents, and other related assignments.
  • Reviewing briefings prepared for the branch and provide a quality assurance role.
  • Identifying administration issues with potential impacts to branch operations (e.g., managing branchrelated purchases, coordinating facilities management requests, maintenance of physical assets, and ensuring accurate inventories of IT equipment and other physical assets are maintained).
  • Supporting the onboarding of new hires within the branch by ensuring they receive the orientation checklist, access card, IT equipment and office space, as required.
  • Representing the branch at division or department meetings related to administrative agendas and contribute to corporate initiatives.

Qualifications:

High School Diploma plus three (3) years of related experience.


Equivalencies:


  • A twoyear diploma and one (1) year related experience.
  • A oneyear certificate and two (2) years related experience.

Experience with the following is preferred:

  • Completing budget forecasts.
  • Managing issues, risks and action logs.
  • Supply chain activities including PRs, POs, catalogue and noncatalogue purchasing, and contract administration.
  • Briefing note quality assurance.

Notes:

There are two (2) permanent, full-time positions available.

Hours of Work: 7.25 hours daily; 36.25 hours weekly, Monday to Friday

Location

  • Ability to work remotely within Alberta
  • Requirement to work on location in Edmonton on an adhoc basis by the Executive Director
