THE POSITION


Reporting to the Office Manager, the Administrative Coordinator is responsible for entering and maintaining the daily production and shipping records as well as arranging the day-to-day freight requirements for the company.

The Administrative Coordinator works closely onsite with the purchaser and production team to ensure inventory quantities, costs and data is up to date in our ERP system.

Operating hours are Mon-Fri from 7am-3pm.

Responsibilities

  • Entering labor ticket data from the previous day into the ERP system.
  • Collecting work orders and issuing material daily to maintain an accurate inventory.
  • Entering purchase receipts into ERP daily, ensuring packing slips are filled out correctly.
  • Investigating any discrepancies between purchase orders and packing slips.
  • Updating costs of items received in ERP system and assisting accounts payable with verifying invoices.
  • Reviewing the production schedule and coordinating the weekly shipments with sales, purchasing, and production team.
  • Verifying the shipping address, contact information for receiver, operating hours, and equipment availability as required.
  • Printing packing slips and labels for upcoming week's shipments.
  • Confirming FOB point, terms, carrier, and tax are correct on paperwork.
  • Communicating any delays with sales team and customers.
  • Arranging inbound and outbound freight including quotation, booking carriers, generating bills of lading, and customs documentation as required.
  • Taking pictures of product prior to shipment and saving these to the order file.
  • Entering carrier's tracking information into ERP system and maintaining records for invoicing.
  • Sending the customer a copy of the packing slip and tracking information.
  • Following up on deliveries with carriers and requesting proof of deliveries as required.
  • Ensuring all data is entered and received in the system in a timely manner at month end.
  • Maintaining and filing records as required.
  • Performing data entry and administrative duties and tasks as assigned.
  • Facilitating the flow of information and products to best serve the needs of the customer and company.
  • Any other duties as required.

Required

  • Highly organized with a keen attention to detail.
  • Ability to multitask.
  • Excellent written and verbal communication skills.
  • Strong work ethic with sense of responsibility, accountability, and ability to meet deadlines.
  • 2+ years of work experience required in an Administrative or Logistics related role.
  • Previous work experience in a related industry; Manufacturing, or Construction.
  • Familiarity with Infor Visual ERP orsimilar ERP system would be an asset.
  • Proficient in MS Office (Outlook, Word, and Excel).
  • Must have reliable transportation.

Compensation & Benefits

  • Extended health benefits including medical, dental, life insurance and longterm disability upon completion of probationary period.
- $230 annual work boot allowance upon completion of 3-month probationary period.

  • 7am to 3pm office hours with two 15 min paid breaks.
  • Reimbursement for all preapproved businessrelated expenses.

From $45,000.00 per year
